The current team member is retiring and the position needs to be filled right away.

Key Responsibilities:

  1. Customer Service:
    • Provide exceptional customer service to all patients, visitors, and team members.
    • Address patient inquiries, concerns, and complaints professionally and promptly.
    • Maintain a friendly and welcoming atmosphere in the front office area.
  2. Insurance Claims:
    • Prepare and submit insurance claims accurately and promptly.  
    • Follow up on outstanding insurance claims and resolve any issues or discrepancies.
  3. Insurance Payments:
    • Post insurance payments to patient accounts and reconcile balances.
    • Ensure accurate recording of insurance payments and adjustments.
    • Handle any insurance-related inquiries from patients or insurance providers.
  4. Insurance Appeals:
    • Preparation and submission of insurance appeals when claims are denied.
    • Communicate effectively with insurance companies to resolve appeal issues.
  5. Billing Statements:
    • Generate and send billing statements to patients in a timely manner.
    • Answer questions and provide clarification regarding patient billing statements.
    • Follow up with patients regarding outstanding balances and payment arrangements.
  6. Audits:
    • Conducting daily audits of patient accounts for accuracy and compliance from the previous day.
    • Identify and rectify any discrepancies or errors found during audits.
    • Ensure adherence to office policies.
  7. Deposits:
    • Process daily deposits and reconcile payment records.
    • Print A/R reports.
  8. Patient Check-Out:
    • Answering phones
    • Greet patients warmly and handle check-out procedures efficiently.
    • Schedule follow-up appointments and provide necessary instructions to patients.
    • Collect co-payments, deductibles, and outstanding balances from patients.

Qualifications:

  • Commitment to delivering high-quality customer service and patient care.
  • Three years experience in dental office administration or a similar role required.
  • Professional apperance.
  • Proficiency in dental practice management software (Dentrix is a plus,).
  • Strong knowledge of dental insurance procedures, including claims processing and appeals.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational abilities.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of basic accounting principles and experience with financial transactions.
  • Cross-trained with back office is preferred.
