Job Description
Our outstanding dental practice is seeking an exceptional Front Desk Treatment Coordinator for an opportunity to join our dedicated team. 

POSITION SUMMARY

Performs a variety of duties while promoting quality dental care for patients and a safe environment of minimal stress. Assists the doctor during the new patient appointments, promotes oral health by encouraging patients to schedule according to the doctors’ recommendations for optimal care, communicate effectively with patients (parents if patient is a child), and follow universal precautions and all OSHA requirements. Facilitates the work flow and patient flow, patient safety / patient education and participation in treatment acceptance by patients. Responsible for operations support, specialty referrals and reporting. Essentially, this role’s primary purpose is to help patients overcome the barriers to obtaining the dentistry they need.

PHYSICAL REQUIREMENTS

Must be able to meet the physical requirements and demands of an active position, including but not limited to: extended durations of standing, walking, stooping, bending and sitting; manual dexterity; good eye-hand coordination; visual abilities (depth perception, ocular focus, close vision, color vision, and peripheral vision), and adequate hearing to perform daily work. Must be able to adjust physically and emotionally to a spontaneous, fast-paced and hectic environment.

RESPONSIBILITIES

  • Participates in the morning huddle and provide any important data regarding new patients scheduled that day or patients beginning treatment that day
  • Shares any opportunities for same day dentistry for patients coming in that day that have unscheduled treatment
  • Maintains patient records per office protocol
  • Assures functional operations that support the delivery of efficient and effective patient care
  • Demonstrates effective communication, and leadership skills
  • Assists the doctor in treatment plan presentations
  • Enters treatment plans into the software
  • Discusses the more complex treatment plans with patients in an effort to help patients understand their need for care
  • Builds value for the doctor, the assistant and the recommended treatment
  • Helps patients find a way to comfortably afford the dentistry they need by making financial arrangements per office protocol
  • Answers patients’ questions regarding treatment and finances
  • Creates financial arrangements per office policy
  • Ensures patients sign treatment plan forms
  • Scans all signed treatment plans into the software
  • Completes all follow up for all recommended treatment that remains unscheduled in a timely manner using the practice protocol
  • Documents all patient conversations in practice software
  • Schedules patients as treatment is accepted, according to the template for the doctor’s schedule
  • Reviews the doctor’s schedule at least two days prior and fill any openings
  • Provides progress reporting and data monthly
  • Is the liaison for specialist offices by helping patients schedule their appointments with the referring offices
  • Reviews reports from specialty offices and contact patients to schedule their next step as appropriate
  • Provides statistical data to the leadership team regarding treatment diagnosed and treatment accepted
PATIENT MANAGEMENT

This role involves working with the following patient types:

  • New patients
  • Recare patients with outstanding treatment recommendations
  • Recare patients with newly diagnosed treatment recommendations
  • Patients being seen for a consultation
  • Patients that are returning with a spouse or other, to discuss the treatment recommendations
  • Patients who require follow up because they have not accepted the treatment recommendations yet
OFFICE PARTICIPATION

• Is an active participant in team meetings

• Promotes team concept by interacting with others in the office & NO gossip rule

• Represents office with pleasant demeanor, positive attitude, and personal grooming

• Knows and supports office philosophy and mission

• Promotes the practice with enthusiasm and represents the practice philosophy for patient care and teamwork

• Enlists the help of others and offers help when asked

• Knows and follows all office policies and manuals

• Prepares for and fully participates in morning huddle providing all data regarding unscheduled treatment

  • Performs all other duties as requested by the Practice Administrator and Doctor
