Job Description

We are looking for an office manager to join our outstanding oral and maxillofacial surgery team.  This leading practice has been part of the community for more than 25 years and we provide exceptional patient care at the highest level.  Candidates MUST have previous experience in a leadership role, preferably within another surgical practice or similar subspecialty field such as Periodontics or Endodontics.  Excellent communication skills, the ability to multi-task, and a strong organizational mindset are essential to this role.  A reliable presence and a strong work ethic is also critical.  The office has a digital workflow so experience with specialty practice management software such as DSN or Carestream would be desirable in addition to strong general computer skills.  Ultimately, we are seeking the right individual who can foster a culture of responsibility and performance while promoting a fun and positive work environment. Bilingual speakers would be an especially welcome addition to our team! 



Responsibilities



  • Oversee the duties of daily office operations, supervise office staff members, and direct staff meetings

  • Maintain a clean and welcoming practice, coordinate with vendors and suppliers, and order office supplies

  • Greet patients warmly, help them fill out forms, and advise them of office policies and patient care procedures

  • Scheduling and confirmation of patient appointments 

  • Calculate fees, coordinate financial agreements, and process payment including cash and credit card transactions

  • File insurance claims forms for completed dental care, determine billing codes, and follow up with dental insurance companies

  • Prepare patient charts and daily schedules for the dentist, hygienists, dental assistants, and dental team members

  • Update dental charts and patient electronic records with x-rays, treatment plans, and financial/ insurance information

  • Lead administrative duties such as filing, mailing, and patient file creation as needed


Skills



  • Proven experience as a practice manager or front office manager 

  • Knowledge of office administrator responsibilities, systems and procedures

  • Proficiency in MS Office & Excel or Google Docs

  • Hands on experience with office machines (e.g. fax machines and printers)

  • A/R and billing experience is a MUST

  • Excellent organizational skills and ability to multi-task and prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills in an exciting, fast-paced environment

  • A creative mind with an ability to think out of the box would be welcome
