Who We're Looking For

  1. Communication Skills: Have strong verbal and written communication skills. They will be the first point of contact for patients, so the ability to communicate clearly and professionally is essential.

  2. Customer Service Orientation: Exceptional customer service is crucial in our dental office. Must be friendly, approachable, and able to handle patient inquiries and concerns with empathy and professionalism.

  3. Organizational Skills: Responsible for scheduling appointments, managing patient records, and coordinating administrative tasks. Strong organizational skills are necessary to handle multiple responsibilities efficiently.

  4. Multitasking Abilities: Our office can be fast-paced environment with multiple tasks happening simultaneously. We are looking for a good receptionist that can handle various responsibilities, such as answering phones, scheduling appointments, and processing paperwork, all while maintaining accuracy and attention to detail.

  5. Computer Skills: Proficiency in using office software, scheduling systems, and electronic health records is essential. Should be comfortable navigating computer systems to manage appointments, update patient records, and perform other administrative tasks.

  6. Professionalism: Professionalism in appearance, behavior, and communication is crucial to create a positive first impression and maintain the reputation of the practice.

  7. Problem-Solving Skills: The ability to handle unexpected issues with composure and find appropriate solutions is an important trait.

  8. Attention to Detail: Accurate record-keeping and attention to detail are critical in our office office. Need to ensure that patient information is entered correctly, appointments are scheduled accurately, and administrative tasks are completed with precision.

  9. Empathy and Patience: Dealing with patients who may be experiencing pain, anxiety, or other concerns requires empathy and patience. You should be able to handle these situations with compassion and provide reassurance to patients.

  10. Adaptability: Dental offices may experience variations in patient flow and unexpected situations. We are seeking someone that can be adaptable and able to handle changes in schedule or unexpected challenges with a positive attitude.

  11. Team Player: Collaboration with other members of the dental team, including dentists, hygienists, and assistants, is important; team player!

Responsibilities

  • Greeting Patients: Welcoming patients as they enter the our office, creating a positive and friendly atmosphere.

  • Scheduling Appointments: Coordinating and scheduling patient appointments, considering the availability of dentists and other staff members.

  • Answering Phones: Managing incoming calls, addressing inquiries, scheduling appointments over the phone, and providing information about the dental office's services.

  • Patient Check-In and Check-Out: Assisting patients with the check-in process, verifying personal and insurance information, and handling the check-out process, which may include processing payments and scheduling follow-up appointments.

  • Verification of Insurance: Verifying patients' insurance coverage, explaining insurance benefits, and helping patients understand their coverage.

  • Maintaining Patient Records: Ensuring accurate and up-to-date patient records, including personal information, medical history, and contact details.

  • Managing Waiting Room: Keeping the waiting area organized, ensuring a comfortable and clean environment for patients, and managing patient flow.

  • Handling Confidential Information: Ensuring the confidentiality of patient information and adhering to privacy regulations, such as HIPAA (Health Insurance Portability and Accountability Act).
  • Problem-Solving: Addressing and resolving patient concerns, scheduling issues, or other challenges that may arise during the course of daily operations.

  • Follow-Up Calls: Making follow-up calls to patients to check on their well-being after procedures or to remind them of upcoming appointments.

  • Maintaining a Clean Reception Area: Keeping the reception area tidy and organized, including regular cleaning and disinfection of surfaces.
