Key Responsibilities:

Support the Office Manager in overseeing daily administrative operations, ensuring efficiency across all locations.
Supervise and train front office staff, including receptionists, scheduling coordinators, and billing specialists, to maintain high-performance standards.
Ensure smooth patient scheduling and appointment management, optimizing provider availability and reducing wait times.
Oversee insurance verification, billing, and claims processing, ensuring accuracy and timely reimbursements.
Monitor compliance with office policies, HIPAA regulations, and OSHA standards, implementing necessary improvements.
Handle patient inquiries, escalations, and conflict resolution with a focus on patient satisfaction and retention.
Assist in hiring, onboarding, and performance evaluations of administrative staff, fostering a positive and productive team environment.
Collaborate with the Office Manager and senior leadership to implement operational strategies and improve workflow efficiencies.
Manage front office inventory, ordering supplies, and maintaining organized office spaces.
Utilize dental practice management software (e.g., Dentrix Ascend, Open Dental, Eagle soft) to oversee patient records, reporting, and financial tracking.
Support marketing initiatives and patient outreach programs to enhance practice growth and patient engagement.

Qualifications & Experience:

3-5+ years of experience in a dental office management or senior administrative role.
Strong knowledge of dental office operations, scheduling protocols, insurance verification, and billing procedures.
Proficiency in dental practice management software (e.g., Dentrix Ascend, Open Dental, Eagle soft).
Experience in staff supervision, training, and team leadership in a multi-location setting preferred.
Strong problem-solving and conflict-resolution skills with a patient-first approach.
Excellent organizational, communication, and multitasking abilities in a fast-paced environment.
Familiarity with HIPAA, OSHA, and other compliance requirements.
