Who Weâre Looking For:
We need an Assistant Office Manager who thrives on putting people first, leads by example, and brings a growth mindset to the table. Youâll work hand-in-hand with our Office Manager to keep our practice running smoothly, supporting our dentists and clinical staff by managing the patient experience, scheduling, insurance, billing, and more. When the Office Manager is out, youâll step up confidently to lead the team and ensure everything stays on track. If youâre comfortable analyzing financials, have dental experience, and love inspiring others, this role is for you!
Key Responsibilities:
Partner with the Office Manager to oversee daily operations, ensuring a seamless patient experience, effective patient recall, scheduling, insurance, billing, collections, supplies, vendor relations, and facility management.
Step in to lead the clinical and non-clinical team independently when the Office Manager is unavailable, upholding our high standards and values.
Take the lead on leadership responsibilities as delegated by the Office Manager.
Provide leadership on best practices, proactively analyze and respond to practice financials, and keep us within budget.
Regularly lead team meetings, coach team members, and mediate conflicts with a collaborative, solution-focused approach.
Work with the billing team to manage billing and A/R effectively, and with the marketing team to boost patient interaction and community outreach.
Assist in managing biweekly payroll and oversee team and patient schedules.
Maintain sky-high patient satisfaction, retention, and referral rates while educating patients on treatment plans.
Ensure compliance with all relevant government guidelines.
Key Skills & Attributes:
Computer and numbers savvyâproficiency in Microsoft Excel and Outlook required; experience with Open Dental and Asana a plus.
Strong understanding of clinical matters and dental operations.
Clear, collaborative communication style paired with high emotional intelligence.
An entrepreneurial mindset and persistence in overcoming barriers.
1-2 years of experience in a dental office, with leadership experience preferred.
