Dental Receptionist
Reports to: Office Manager and Dentist
PRIMARY RESPONSIBILITIES: Responsible for maintaining appearance and order
of dental office, patient scheduling, and patient management
SPECIFIC DUTIES
Reception Management

Check the daily schedule for accuracy and provide schedule to dental team as appropriate

Answer and respond to telephone calls with professionalism

Greet patients upon arrival in the office, obtain temperature, provide them with needed paperwork, and mark as available for the clinical team.

Patient Management

Maintain a professional reception area/office (organize patient education materials, straighten up the facility, participate in office cleaning schedule and duties, etc.)

Greet and welcome patients and visitors to the practice

Check in patients according to office protocol, verifying and updating health information

Provide and document HIPAA Notice of Privacy Practices according to office policies and procedures

Manage recall and inactive patient system

Confirm upcoming appointments

Schedule patients for efficient use of doctor and staff time

Check patient back-up list to try to fill in cancellation and no-show appointment times

Collect payment from patients at time of treatment

Schedule follow-up appointments as directed

Description of Daily Tasks:

Work with all employees up front to complete beginning and end of day checklists.

Look ahead at the schedule and convert any cell numbers that are entered as house numbers into cell phone numbers, so that patients can receive text messages from our office.

Look ahead at the schedule and ensure proper providers are selected for each operatory on the schedule.

If they have not been completed within the last 1.5 years with Dr Mason’s name, then they need new.

Greet patients upon arrival.

Make sure they are wearing a mask

Enter “R” in Denticon to show the patient is in the reception area, but not ready for treatment; for example if they have paperwork to fill out

If chart does not have email or cell phone- please get that info

Verify insurance-- say specifically, “Do you still have the Health Plan for your dental insurance?”

Take patient temperature and ask if they have been vaccinated

If yes, write in pt notes. If no, ask if they have felt any symptoms or been in contact with anyone with Covid in the past 2 weeks?

Add a note into EHR documenting vaccination status and temperature

When the patient is ready for the providers, push the light accordingly to notify the back the patient is now available to be taken back.

Collect outstanding past due balances and copays for major treatment PRIOR to delivery.

Implant

SRP

Collect patient portion prior to crown delivery.

Patients should be paying their portion at the end of the prep appointment. If they have not paid their portion at the first appointment, it must be collected before the crown is inserted.

The check in desk is responsible for knowing who is in the waiting room and who they are waiting on.

When the patient goes to the back, clear and reset the lights so that the appropriate lights are selected.

The schedule is marked and highlighted as appropriate, but every employee is responsible for being aware of who is coming in that:

has an existing balance and be prepared to collect payment promptly

is cash pay and be prepared for them to collect payment promptly

will have a same day copayment and be prepared to collect payment promptly

Answer phones and schedule patients according to watermarks on the schedule.

On these phone calls, verify that the patient address and phone number we have on record is accurate.

Collect cell phone number and email address for appointment reminders and eforms.

Call to remind patients about appointments

Remind patients how much they owe and that they should be prepared to pay the same day.

Advise patients coming in for extractions that they need to eat prior to coming in for their extraction.

If the patient chart indicates that premedication is required, remind the patient to take their premedication.

Fill holes and cancellations promptly and without being told.

Call patients promptly at 5 after when they are late for appointments to verify if they are late or not coming to their appointment.

You are responsible for watching and monitoring the clock and knowing when patients are late to their appointments.

If we do not get ahold of the patient, enter the code showing they missed the appointment and set the status as missed.

If we speak with a patient and they can arrive late, ensure the clinical staff approves the late arrival and knows they are definitely coming.

If needed, pull patient charts and sequence appropriately for the day’s schedule.

File patient charts following treatments if needed.

3rd to Schedule reappointments in office

Insurance Coordinator and Office Manager will present treatment plans, then discuss with the patient what they will be responsible for paying and schedule their initial appointment if Debbie is busy

Check out desk will schedule hygiene recalls + Dr appts as needed

Check in desk will be the third line to reappoint and give the patient a treatment plan as needed

Check email daily

When a patient completes their paperwork and says another patient referred them, send the referring patient a thank you for recommending us.

When adding a new patient to the schedule, for the next day, notify the insurance coordinator, so that she can properly link the codes and payment info.

Complete new patient intake forms and insurance verification forms as needed.

Assist with researching outstanding claims and collecting patient balances as needed.
