We’re looking for a dedicated and experienced Orthodontic Office Manager to lead our front office team and ensure smooth day-to-day operations.
Position Summary:
As the Office Manager, you will be the face and backbone of our practice, overseeing administrative operations, leading the front office team, and ensuring the highest standard of patient care. The ideal candidate is organized, professional, and experienced in orthodontic administration with strong leadership skills.
Key Responsibilities:
- Oversee front desk operations, including scheduling, billing, patient communication, and insurance processing
- Supervise and support front office staff, including training, performance evaluations, and daily oversight
- Coordinate with clinical team to ensure efficient patient flow and scheduling
- Present treatment plans, discuss financial options, and guide patients through the onboarding process as part of treatment coordinating duties
- Monitor office performance metrics and help implement improvements
- Maintain a positive and professional environment for patients and staff
- Handle patient concerns or escalations with professionalism and empathy
- Ensure compliance with HIPAA and all relevant regulations
Qualifications:
- Minimum 3 years of experience in an orthodontic administrative role (required)
- Prior experience in a management or leadership position (strongly preferred)
- Proficiency with orthodontic practice management software (Cloud9)
- Excellent communication and organizational skills
- Bilingual (English/Spanish) is a plus
- Strong understanding of insurance verification and billing
- Ability to lead a team with positivity and accountability
- Must provide three professional references
What We Offer:
- Full-time position (approximately 36–40 hours/week)
- Competitive hourly rate: $30–$33 per hour, based on experience
- $500 signing bonus after 90 days
