Position Summary
The Office Manager will partner with the Managing partner in overseeing the business
operations, staff scheduling and patient relations to ensure an efficient workflow. Key
responsibilities include patient scheduling, supervising staff, managing insurance and patient
inquiries and complaints This role requires strong organizational and interpersonal skills.
The role is vital in maintaining seamless office operations and driving initiatives to promote
superior clinical care and business objectives.
Duties and Responsibilities
Patient Scheduling.
Patient In-take initiatives and strategies.
Ensuring timely insurance verification, accurate and complete data collection
Recruitment and training of new administrative and clinical staff.
Supervise staff and conduct performance reviews.
Organize staff meetings and resolve employee conflicts.
Financial Management:
Treatment plan presentations and reviews with patients.
Billings and re-submissions,
Insurance claims and collections of claims,
Patient payments and collections,
Performance Reporting,
Patient and Office Operations:
Coordinate patient appointments ensuring a smooth workflow.
Manage patient relations, including handling complaints and ensuring a positive experience.
Implement and update office policies and procedures.
Compliance and Administration:
Maintains a safe environment for employees, patients and visitors.
Assures that all emergency equipment, such as fire extinguishers and emergency lights are
properly maintained.
Manage and support in Compliance Audits.
Submits fire extinguisher and emergency logs monthly (off sites).
Performs quarterly safety/emergency drills.
Completes and submits quarterly safety drill reports.
Coordinates and prepares office and staff for potential weather-related disasters.
Communicates with the corporate office for current updates and maintains an open line of
communication with staff.
Follows company Hurricane/Tornado policies and procedures.
Follows company policy and procedures for medical record release of information
Qualifications
High School Diploma required.
Minimum of 2 years of dental office experience.
Prior supervisory experience or completion of a management training program.
Knowledge of CPT & ICD-9 and ADA coding required.
Experience or proficiency with Insurance co-ordination (HMO / PPO / Medicare etc.)
Bilingual (English/Spanish) will be an asset.
Strong interpersonal and communication skills, with ability to interact effectively with physicians,
patients, and staff.
Experience with eagle-soft, proficient technology skills, including electronic health records and
practice management software.
Familiarity with Microsoft Office Suite would be an asset.
