Overview We are seeking a motivated, highly organized, and detail-oriented Patient Coordinator to join our growing pediatric dental practice. This position is perfect for someone with prior dental office experience who thrives in a patient-focused environment. The ideal candidate will serve as the primary point of contact for patients, managing appointment scheduling, insurance verification, and medical documentation. This role requires excellent communication skills, proficiency with Electronic Health Record (EHR) systems, and a solid understanding of medical terminology and billing processes. Bilingual abilities and clinic experience are highly valued to ensure exceptional patient service and smooth office operations. Key Responsibilities Present treatment plans to parent with clarity and confidence Review financial options, including in-office membership and third-party financing Verify and check dental insurance benefits and eligibility Submit pre-treatment estimates Effectively schedule patients to ensure productivity and patient flow Follow up on unscheduled treatment and past due recare Assist the clinical team with sterilization and turning over treatment rooms Participate in marketing efforts such as social media, ground marketing and events Collect and document patient information accurately during intake and check-in processes Review medical records, care plans, and documentation for completeness and accuracy Ensure compliance with HIPAA regulations concerning patient privacy and health information management Handle multi-line phone systems with professional phone etiquette; schedule appointments and answer patient inquiries Maintain organized filing of medical records and documentation review for billing or administrative purposes Support front desk operations by managing patient flow and providing excellent customer service Perform administrative support tasks such as data entry, typing, filing, and office management duties Requirements Minimum of 2 years of prior dental office experience required Knowledge of dental insurance and the ability to discuss financial arrangements confidently Experience with Open Dental is a plus (training will be available for the right candidate) Strong customer service skills with a warm, professional demeanor Excellent attention to detail and organizational skills Ability to multitask and adapt to new systems and processes Proven experience in a dental office setting or clinic environment Knowledge of dental terminology, dental coding, and dental billing procedures Strong understanding of HIPAA regulations and health information management standards Excellent communication skills with professional phone etiquette; bilingual abilities are a plus Proficiency in computer skills Ability to handle administrative tasks efficiently while maintaining attention to detail Prior experience with insurance verification processes is preferred Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment Office or medical receptionist experience is highly advantageous Why Join Us?
