We are looking for a highly organized, professional, and friendly Dental Front Office Coordinator to join our team and be the welcoming face of our practice. Position Overview As our Dental Front Office Coordinator, you are the first point of contact for our patients and play a critical role in ensuring smooth office operations and outstanding patient care. You will manage administrative tasks, coordinate patient flow, and support our clinical team to ensure a seamless and positive experience for every patient. Key Responsibilities Patient Interaction: Greet and welcome patients and visitors with a warm and professional demeanor. Manage patient check-ins and check-outs efficiently. Scheduling & Follow-up: Schedule, confirm, and reschedule patient appointments to maintain a productive office schedule. Manage the recall system and follow up with patients on unscheduled treatment plans. Records Management: Accurately enter and update patient information and records in our dental practice management software (Dentrix Ascend). Ensure all patient forms and documentation (HIPAA, insurance, etc.) are current. Billing & Insurance: Verify patient dental insurance benefits and eligibility. Prepare and present treatment plans and financial options to patients with clarity and confidence. Process payments and file insurance claims. Communication: Answer phone calls, emails, and patient inquiries promptly and courteously. Coordinate communication between the administrative and clinical teams for seamless patient flow. General Administration: Maintain a clean, organized, and inviting front desk and waiting area. Manage office supplies inventory and perform general office duties such as filing and scanning. Qualifications & Skills Experience: Minimum of 2 years of experience working in a dental office front desk role is required. Software Proficiency: Proficient in dental practice management software (Dentrix Ascend) and general office applications is preferred. Communication: Excellent verbal and written communication skills with strong telephone etiquette. Interpersonal Skills: A friendly, professional, and empathetic demeanor with strong customer service skills. Ability to build rapport with patients and handle patient concerns with patience and tact. Organizational Skills: Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize in a fast-paced environment. Team Player: A positive attitude and a willingness to collaborate effectively with all team members to ensure the best patient experience. Schedule : Mondays: 10 am - 7 pm Tuesdays: 8 am - 2 pm Wednesdays: 10 am - 7 pm Thursdays: 9 am - 6 pm Friday: 8 am - 2 pm (Admin Day - can be flexible). 1 Saturday/ month: 8 am - 2 pm (Friday or Tuesday off on the week we work Saturday) We offer competitive pay with a comprehensive benefit package!
