Position Overview The Patient Coordinator plays a vital role in creating a smooth and positive experience for every patient while ensuring the accuracy and efficiency of front-office operations. In addition to traditional reception duties, this position includes billing and scheduling responsibilities , such as: Patient accounts and insurance AR Insurance claim submission Accurate and goal-focused scheduling Statement generation Payment posting This team member must be friendly, professional, dependable, and excellent at multitasking. Key ResponsibilitiesFront Desk Excellence Greet patients with warmth, professionalism, and efficiency Answer phones, direct calls, and assist patients with scheduling needs Manage patient check-in, check-out, financial discussions, and follow-up tasks Maintain accurate patient records and update demographic or insurance information Scheduling & Goal Achievement Schedule appointments strategically to meet provider production goals Ensure accurate appointment types, lengths, and operatory assignments Follow scheduling systems consistently with strong attention to detail Conduct confirmation calls, track broken appointments, and help prevent schedule gaps Maintain a clean, productive schedule through proactive communication and follow-up Billing & Revenue Cycle Support Prepare and electronically submit insurance claims with appropriate attachments Follow up on outstanding insurance claims and assist with insurance AR Generate patient statements and assist with past due account outreach Collect and post patient payments accurately Assist with insurance verification and benefit coordination when needed Administrative Tasks Keep reception area organized and welcoming Assist new patients with registration and onboarding Maintain filing systems and digital records Support office leaders and billing team with daily administrative needs Follow HIPAA and OSHA guidelines at all times Ideal Candidate Characteristics We are looking for a team member who is: Friendly, professional, and patient-focused Excellent at multitasking and staying organized Confident speaking with patients about appointments and finances Comfortable with insurance and billing workflows Detail-oriented with high accuracy and follow-through Skilled at maintaining productive schedules Positive, proactive, and committed to helping the team succeed A motivated learner who enjoys growing in their role Requirements 2â5 years of dental front office or medical administrative experience preferred Experience with insurance verification, claim submission, or patient AR is a plus Strong scheduling or treatment coordination experience highly valued Proficiency with MS Office; CareStack, Eaglesoft, or Mango experience a plus Strong communication and customer service skills Ability to work in a fast-paced environment with shifting priorities Professional demeanor and commitment to confidentiality Ability to work flexible hours between 7amâ7:30pm; occasional Saturday rotation.
