We are an out-of-network, boutique functional dental practice seeking a highly organized, proactive, and compassionate Lead Front Office Coordinator . You will lead front-office operations, elevate our patient experience, and help guide the team through our continued transition toward more efficient digital workflows. Key Responsibilities: Front Office Leadership & Workflow Oversight: Lead and oversee day-to-day front office operations with an emphasis on accuracy, efficiency, and calm patient flow. Model excellence in communication, organization, and accountability. Provide structure, mentorship, and coaching to administrative team members; reinforce high standards and healthy habits. Partner with the doctor to refine and improve systems, patient flow, and digital processes as the practice grows. Assist in the transition to more streamlined, paperless workflows. Patient Experience & Communications: Deliver a warm, elevated patient experience consistent with a boutique, relationship-based practice. Support patients with thoughtful check-in, check-out, scheduling, financial arrangements, and treatment plan understanding. Oversee confirmations, insurance information gathering, and patient communications. Maintain a front office environment that reflects functional dentistry values: calm, intentional, educational, and patient-centered. Administrative & Technical Duties: Maintain accurate scheduling templates, recall systems, digital charting, and internal communication channels. Ensure precise financial presentations, documentation, and benefit estimates (we are an out-of-network practice ; applicants must be comfortable explaining OON policies with clarity and warmth). Monitor and quality-check all data entry, chart documentation, and digital organization. Support daily reports, AR follow-ups, pre-authorizations, and month-end administrative tasks. Qualifications: Required: 2+ years of dental front office experience (lead or senior role preferred; boutique or OON experience a plus). Strong communication skills: warm, clear, confident, and professional. High attention to detail, excellent organization, and strong follow-through. Ability to prioritize and problem-solve independently. Comfort with technology and digital workflow transitions. Team-first mindset with the ability to set expectations gracefully and consistently. Preferred / âPlusâ Skills: Open Dental experience. Google Drive experience (shared folders, collaborative documents, naming conventions). Experience working in an out-of-network or boutique practice setting. Familiarity with functional dentistry or interest in whole-health, root-cause-driven care.
