Position Title : Front Desk Patient Coordinator Reports to : Dental Home Director Location : KinderSmile Community Oral Health Center- Bloomfield, NJ About the KinderSmile Foundation KinderSmile Foundation is a nonprofit organization dedicated to providing underserved children and their families with comprehensive dental care and education on the importance of dental hygiene. Established in 2007, the foundation's mission is to ensure every child has access to a dentist and to eradicate preventable dental diseases, which disproportionately affect economically disadvantaged children. KinderSmile Foundation operates three Dental Homes in Bloomfield, Newark, and Trenton, New Jersey, serving patients regardless of their insurance status. Position Summary This is a full-time, non-exempt position. The bilingual (Spanish speaking) Front Desk Patient Coordinator is responsible for providing exceptional patient support and ensuring smooth and efficient front desk operations at KinderSmile Community Oral Health Center in Bloomfield. Key responsibilities include greeting patients, managing appointments, verifying insurance eligibility, handling billing, and maintaining a clean and organized workspace. The Front Desk Patient Coordinator will work collaboratively with the dental team, adhere to office protocols, and contribute to a positive patient experience. The ideal candidate should be organized, punctual, reliable, and possess strong communication skills, a friendly demeanor, and experience with Eaglesoft dental software. Wearing clean scrubs is the required attire for this position to ensure a professional and hygienic appearance at all times. The salary range for this position is $17-$21 per hour depending on experience. Location This is an on-site position reporting to the KinderSmile Community Oral Health Center- Bloomfield. Position Details The initial work schedule will be full-time, 40 hours per week Monday/ Wednesday/ Thursday: 9AM - 6 PM Tuesday: varies between 9AM-6PM and 10AM-7PM Fridays: 9am-4pm 2 Saturdays per month: 9AM-2PM Who You Are: As a Front Desk Patient Coordinator at KinderSmile Foundation, you are a friendly, organized, and efficient professional who is passionate about providing exceptional service to underserved children and their families. Your attention to detail, strong multitasking abilities, and problem-solving skills allow you to effectively manage patient registration, appointment scheduling, insurance verification, and other administrative tasks. As a team player, you collaborate with dentists, dental hygienists, dental assistants, and other staff members to ensure smooth and efficient operations at our Dental Home. What Youâll Do : General Responsibilities Treat all patients, their families, and caregivers with respect, dignity, and professionalism. Keep front desk neat and organized. Answer phones and return patient calls. Check phone messages. Maintain supply closet and report low inventory. Familiarize yourself with the required manuals and policies, including OSHA and HIPAA regulations. Be ready to start work on time and participate in the daily Huddle. Ensure the dental home is clean and organized. Attend staff meetings and trainings, participate in daily Huddle. Patient Support Greet patients. COVID-19 pre-screening of patients, family members and caregivers. Patient registration intake. Address patient concerns and inquiries in a professional and empathetic manner. Scheduling and confirmation of all patient appointments. Keep Provider's schedules booked. Insurance Management Walk-out patients. Verify patient insurance eligibility. Submit pre-authorizations for services. Submit all dental claims to insurance on a daily basis. Input all insurance payment receipts and reconcile unpaid Explanation of Benefits (EOB). Print daily Eaglesoft reports. Complete daily Patient Log Sheet. Billing and Administration Submit monthly billing to private patients. Complete a monthly report for all insurance billing and payments. Reconcile In-Kind patient accounts. Review weekly outstanding EOB billing. QUALIFICATIONS The following are the minimum qualifications which an individual needs to successfully perform the duties and responsibilities of this position. Education High school diploma or equivalent Experience Previous experience working in a dental office or similar healthcare setting is required. Experience with EagleSoft dental software (preferred). Technical Proficiency Bilingual (Spanish) speaking and reading. Good communication and telephone skills. Familiarity with dental software and electronic health records. Other Critical Skills Organized, punctual, and reliable. Works well as part of a team. Likes working with children. Friendly and personable. Special Working Conditions Exposure to Dental Environment: Although the role is primarily administrative, the employee may occasionally be required to assist in the clinical area, requiring contact with patients and possible exposure to dental procedures. Multitasking: The role involves managing multiple tasks simultaneously, such as answering phones, scheduling appointments, and assisting with insurance and billing tasks. Physical Requirement The physical requirements for the Front Desk Patient Coordinator role include the ability to sit and stand for extended periods of time, as the employee will be working at a computer station and assisting patients at the front desk. The role may also involve occasional lifting and carrying of office supplies, materials and equipment, typically weighing up to 20 pounds. Good manual dexterity and hand-eye coordination are necessary for tasks such as typing, filing and handling paperwork. The employee should also possess good vision and hearing, as the role requires reading documents, using a computer, and communicating with patients and colleagues in person and over the phone. Lastly, the employee may need to assist in the clinical area on occasion, which may involve standing, bending, and reaching in order to provide support to dental staff and patients.
