Overview We are seeking an energetic and detail-oriented Front Desk/Treatment Plan Coordinator to join our dynamic Dental team. This vital role combines exceptional patient service with administrative excellence, ensuring smooth clinic operations and a positive patient experience. As the first point of contact, you will manage patient interactions, coordinate treatment plans, and support clinical staff with efficient administrative support. Your proactive approach and strong organizational skills will help foster a welcoming environment while maintaining compliance with healthcare regulations and documentation standards. Responsibilities Greet patients warmly upon arrival, verify insurance information, and update patient records accurately within Open Dental. Schedule appointments efficiently using Open Dentalt software, ensuring optimal clinic flow. Review and verify insurance coverage and perform insurance verifications in compliance with HIPAA regulations. Assist in the preparation and review of treatment plans, ensuring all documentation aligns with clinical protocols and coding standards such as CDT coding. Manage multi-line phone systems with professional phone etiquette to answer inquiries, schedule appointments, and direct calls appropriately. Maintain accurate Dental records by filing documents electronically or physically while ensuring confidentiality and adherence to health information management standards. Support clinical staff by coordinating patient intake procedures, updating medical histories, and reviewing documentation for completeness. Perform administrative tasks such as data entry, typing reports using Microsoft Office tools, and managing office supplies to ensure a well-organized front desk environment. Facilitate communication between patients and healthcare providers regarding care plans, follow-up appointments, and billing questions. Uphold all HIPAA guidelines to protect patient privacy while handling sensitive health information diligently. Requirements Proven experience in a dental office setting or healthcare environment with strong familiarity with Open Dental and MD Vita Knowledge of dental terminology, CDT Code, dental procedures, and insurance verification processes. Excellent customer service skills combined with professional phone etiquette and the ability to handle multi-line phone systems efficiently. Strong computer skills, including proficiency in Microsoft Office (Word, Excel), typing (10-key), and electronic filing systems Open Dental. Two years of experience in dental clinic environments is highly preferred; bilingual abilities are a plus to serve diverse patient populations. Ability to review documentation thoroughly for accuracy and completeness while maintaining compliance with HIPAA regulations. Exceptional organizational skills with attention to detail in managing medical records and appointment schedules. Demonstrated ability to work independently as well as part of a collaborative team in a fast-paced setting. Prior experience with dental terminology is advantageous.
