Who Weâre Looking For We are seeking a highly skilled, hands-on Dental Front Office Manager to lead our administrative and operational systems. This role oversees the full non-clinical team including scheduling, insurance, billing, and patient service functions, and is accountable for practice performance metrics, workflow consistency, and regulatory compliance. Key Responsibilities Leadership & Team Development Lead the daily flow of the practice, including administrative huddles, communication, and KPI monitoring. Coach, mentor, and hold team members accountable to scheduling accuracy, patient communication standards, and workflow expectations. Foster a positive, collaborative environment focused on five-star patient care, clarity, and reliability. Partner with the lead dentist and clinical team to maintain smooth handoffs, consistent communication, and aligned priorities. Insurance, Billing & Financial Systems Oversee insurance verification, claim submission, appeals, and follow-up to ensure accuracy and timeliness. Manage accounts receivable and collections processes with empathy and professionalism. Audit adjustments, ledgers, and financial data to maintain integrity and transparency. Track revenue cycle performance and provide insights to the lead dentist. Scheduling & Patient Experience Manage scheduling templates to support patient access, production stability, and chair utilization. Ensure all front-office interactions meet expected patient-experience standards. Support team communication, problem-solving, and service recovery when needed. Monitor reappointment, new patient conversion, same-day treatment acceptance, and call response expectations. Operational Systems & Compliance Maintain OSHA, HIPAA, infection-control, and regulatory compliance for administrative functions. Oversee supply ordering, vendor coordination, equipment service scheduling, and facility upkeep. Ensure policies, procedures, and standard operating guidelines remain accurate and followed consistently. Collaborate with ownership to refine systems that improve efficiency, profitability, and patient satisfaction. Recruitment, Training & HR Responsibilities Manage recruitment, interviewing, and onboarding of all team members. Develop training pathways and ensure staff understand performance standards, workflows, and practice expectations. Conduct performance evaluations, coaching conversations, and corrective-action processes when necessary. Support payroll coordination, benefits questions, and staff incentive programs. Maintain a professional, confidential, and supportive environment that promotes team engagement and retention.
