Dental Office Operations Lead â Front-to-Back Ownership Privately owned, patient-focused dental office | Spring Valley, MN We are a privately owned dental practice seeking a Business Office Coordinator to take full ownership of the dental officeâs business operationsâfrom front to back. This is a leadership-oriented role for someone who thrives on accountability, structure, and improving how an office runs day to day. As we continue to rebuild and strengthen our practice, this position plays a critical role in ensuring operational consistency, patient satisfaction, and financial accuracy while partnering closely with the dentist. Role Responsibilities What This Role Owns The Business Office Coordinator is responsible for the end-to-end management of the business office , including people, processes, performance, and patient experience. Core Responsibilities Own daily business office operations from patient check-in through final billing and follow-up Lead front desk workflows, scheduling protocols, and patient communication standards Manage insurance processes including verification, claims submission, follow-up, and resolution Own and manage accounts receivable, including patient balances, insurance follow-up, and aging reports Serve as the primary escalation point for patient concerns, financial discussions, and service recovery Operational Leadership & Performance Manage and support a small front office team, including training, scheduling coordination, performance feedback, and accountability to standards Track, analyze, and report on key dental office metrics including schedule utilization, collections, case acceptance, and AR performance Maintain accurate documentation, reporting, and compliance with office policies and procedures Identify workflow gaps and implement operational improvements to drive efficiency, consistency, and growth Act as a trusted operational partner to the dentist to ensure smooth, consistent day-to-day operations Growth & Long-Term Value Oversee patient billing and support accounts payable processes Coordinate and execute marketing promotions, patient outreach initiatives, and referral programs Travel with the dentist as needed for continuing education, training, and professional conferences Qualifications: 5+ years dental front office and/or medical coordinator experience; comfortable with dental software; dependable and detail-oriented; confident making decisions within defined guidelines; strong communication and organizational skills.
