Permanent Dental Receptionist / Front Desk Job in Saratoga, CA

Job Overview We are seeking a highly organized and patient-focused Treatment Coordinator to join our pediatric dental practice. The ideal candidate will serve as a vital link between patients and the clinical team, ensuring smooth communication, accurate documentation, and efficient scheduling. This role requires a professional with strong administrative skills, dental terminology knowledge, and experience in insurance / dental treatment planning. Duties Greet patients professionally and manage front desk operations, including multi-line phone systems and patient check-in/out procedures Verify insurance coverage, perform insurance verification, and explain treatment plans and financial options to patients Schedule appointments using dental practice management software such as Eaglesoft, ensuring optimal appointment flow Review and update patient medical records, EMR systems (Eaglesoft), and ensure compliance with HIPAA regulations Assist with dental billing processes, claims, and documentation review Coordinate care plans by collaborating with dental providers to ensure comprehensive patient treatment planning Manage patient inquiries with excellent phone etiquette and provide exceptional customer service throughout the patient journey Maintain accurate filing of dental records, medical records, and office documentation in accordance with health information management standards Support office management tasks such as clerical duties, data entry (including 10 key typing), office organization, marketing Skills Proficiency in dental office management software such as Eaglesoft or Dentrix; experience with EMR/EHR systems like Epic or Meditech is preferred Strong knowledge of dental terminology, medical terminology, and insurance billing processes including insurance verification Experience with health information management systems such as Athenahealth or eClinicalWorks; familiarity with HIPAA compliance required Excellent computer skills including Microsoft Office Suite (Word, Excel) and typing proficiency (10 key typing) Exceptional organizational skills with attention to detail for documentation review and accurate record keeping Strong communication skills with professional phone etiquette Previous clinic or dental office experience is highly desirable; background in front desk roles preferred Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining a high level of customer service This position offers an engaging opportunity to contribute to a well-respected dental practice by providing outstanding administrative support that enhances patient care and office efficiency.
