Front Care Coordinator â Dental Office Position Summary The Front Care Coordinator is responsible for managing the patient experience from first contact through check-out and follow-up. This role ensures efficient scheduling, accurate documentation, financial transparency, policy compliance, and timely escalation of issues to leadership. The Front Care Coordinator is a key contributor to patient satisfaction, operational efficiency, and practice growth. Key Responsibilities:: -Patient Experience & Communication -Greet patients professionally and ensure a positive first impression -Answer incoming calls promptly, courteously, and efficiently -Schedule, confirm, and reschedule appointments to optimize provider schedules -Coordinate patient flow to minimize wait times Scheduling & Production Support: - Fill schedule gaps and cancellations proactively -Confirm upcoming appointments and manage recall systems Documentation & Compliance: - Collect, review, and scan all required patient documentation on the day of service, including health histories and financial policies -Maintain accurate and complete patient records in compliance with HIPAA and practice standards -Safeguard protected health information (PHI) at all times Financial Coordination: -Review financial policies with patients and obtain required acknowledgments -Collect copays and patient balances accurately at check-in or check-out -Communicate treatment fees clearly and professionally Policy Adherence & Escalation: -Adhere strictly to all practice policies and procedures -Report all incidents, policy violations, or operational concerns to leadership promptly -Escalate patient concerns or complex issues appropriately Professional Conduct: -Maintain a professional presence at the front desk at all times -Refrain from personal cell phone use while on duty except in emergencies -Conduct all interactions with discretion, professionalism, and respect Qualifications: -Prior experience in a dental or medical office preferred -Strong communication and organizational skills -Ability to manage multiple tasks in a fast-paced environment -Knowledge of HIPAA privacy and security requirements -Professional demeanor and reliability Performance Expectations: -Accurate and timely completion of patient documentation -High level of patient satisfaction and professionalism -Reliable escalation of issues to management -Consistent policy compliance -Contribution to practice efficiency and growth Work Environment: This position requires attention to detail, focus on patient care, and collaboration with clinical and administrative team members.
