About the Role In this role, youâll support the practice across front office, administrative, and treatment coordination responsibilities. Youâll work closely with the doctor to guide patients through their orthodontic journey from the first phone call to starting treatment. As the practice grows, this position is designed to expand with you, offering a clear path toward a future Office Manager or leadership role. This is an ideal opportunity for someone who is organized, confident, personable, and enjoys wearing multiple hats in a growing environment. Key Responsibilities Welcome patients and families with a warm, professional, and confident demeanor Manage phones, appointment scheduling, and new patient intake paperwork Coordinate and assist with new patient consultations Present treatment plans and financial options clearly and compassionately (training provided) Educate patients and families on treatment recommendations and next steps Support case acceptance through follow-up and strong communication Verify insurance benefits, explain coverage, and collect payments Prepare contracts and assist with financial arrangements Maintain accurate and organized patient records Assist with administrative projects, reporting, and daily office operations Help create, refine, and document systems and workflows as the practice grows Collaborate closely with the doctor and team to ensure a smooth, patient-focused experience Help plan and carry out occasional community events (may be on evenings or Saturdays depending on the event) Qualifications Strong organizational and communication skills Professional, dependable, and adaptable in a start-up environment Experience in administrative, reception, sales, or finance roles preferred Dental, medical, or orthodontic experience is a plus but not required Comfortable speaking with patients about treatment and financial options (or eager to learn) Willingness to learn new software, systems, and processes Desire to grow into a leadership role with expanded responsibilities Why Join Us?
