Who Weâre Looking For: Weâre looking for a strong team player with a customer service background and/or skill set. Being detail-oriented, organized, friendly, adaptable, and outgoing are all key qualities needed to succeed as a Patient Coordinator. What our office manager does: The Patient Coordinator is the first point of contact for new and existing patients, welcoming them into our practice, ensuring an exceptional patient experience, while performing day-to-day administrative duties. * Scheduling patients via phone and online inquiry * obtain FLDs from our centralized Insurance Department and input fee schedules * Ensuring patients have received a hard copy of their treatment plan * Collecting payment from patients * Provide consistent, exceptional service to all patients * Assist in general office and administrative tasks Qualifications * Experience in providing exceptional customer service and/or patient care * Coachable, with a willingness to learn, and adapt to different systems * Ability to multitask in a fast-paced environment while remaining calm and collected * Strong written and verbal communication skills * Proficient computer skills; the ability to learn software used in office, as well use all Microsoft Office. We are looking for an front desk assistant to organize and coordinate administration duties and office procedures like coding, insurance knowledge, and day-to-day reports. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. Responsibilities Serve as the point person for front desk assistant duties including dental insurance, mailing, bills, errands Schedule patient appointments and post insurances on software Organize the office layout and order stationery and equipment Maintain the office condition and arrange necessary repairs Organize office operations and procedures Coordinate with IT department on all office equipment Ensure that all items are invoiced and paid on time Provide schedule support to patients and treatment planning Assist in the onboarding process for new hires Skills Proven experience as an front desk assistant or administrative assistant Knowledge of office administrator responsibilities, insurances and procedures Proficiency in Eaglesoft and MS Office (MS Excel and MS Outlook, in particular) Hands-on experience with office machines (e.g. fax machines and printers) Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements Job Types: Full-time, Contract Pay: $15.00 - $20.00 per hour Benefits: Dental insurance Paid time off Experience: Practice Managers & Administrators: 1 year (Preferred) Management: 1 year (Preferred) Work Location: In person
