We are a privately owned, quality focused, fee for service, boutique dental practice in Seal Beach seeking an exceptional Front Office Manager/ Practice Coordinator to lead and elevate our patient experience and administrative operations. Position Overview
The Front Office Lead/ Practice Coordinator is responsible for overseeing all front office operations, serving as the primary point of contact for patients, and acting as a key liaison between the clinical team and the business side of the practice. This individual combines high-level customer service with strong organizational, financial, and communication skills. Additionally, this individual will work in concert with existing treatment and insurance coordinators to support strong operational and financial performance.
Key Responsibilities Include:
Patient Experience and Reception
- Create a welcoming, polished, and calm patient experience from first contact through post-treatment follow-up
- Professionally manage phone calls, emails, and in-person interactions with warmth, clarity, and discretion
- Anticipate patient needs and proactively address questions or concerns
- Handle sensitive conversations regarding treatment, finances, and insurance with confidence and empathy
Scheduling and Practice Flow
- Build and maintain a productive, well-balanced schedule that supports provider efficiency and patient convenience
- Coordinate schedules across doctors, hygienists, and operatories
- Manage same-day changes, cancellations, and no-shows to protect production goals
- Ensure optimal use of chair time and support smooth daily operations
Coordination with Treatment and Financial Teams
-Work closely with the Treatment Coordinator to support case flow, continuity of care, and follow-up
-Partner with the Insurance/Financial Coordinator to ensure accurate insurance verification and financial clarity
-Reinforce treatment and financial conversations as needed to support patient confidence and trust
-Maintain high-level awareness of treatment progress and outstanding financial matters
-Follow up on unpaid claims and resolve discrepancies efficiently
-Educate patients on insurance coverage while setting clear expectations
Billing, Collections, and Financial Oversight
- Support collections and accounts receivable through leadership, monitoring, and patient communication
- Review key metrics related to production, collections, and scheduling efficiency
- Identify trends or issues and communicate insights to practice leadership
- Balance financial responsibility with a refined, patient-centered experience
Problem Solving and Proactive Management
- Identify potential issues before they escalate, including scheduling gaps, insurance delays, or patient concerns
- Resolve complications calmly and efficiently with minimal disruption to the practice
- Serve as a trusted point of contact for both patients and team members
- Maintain organized, accurate records and documentation
Leadership and Team Collaboration
- Set the tone for professionalism, discretion, and excellence at the front desk
- Collaborate closely with doctors, hygienists, assistants, and leadership
- Support training, onboarding, and adherence to front office protocols
- Uphold practice standards and contribute to a positive, cohesive team culture
Qualifications and Experience
- Minimum of 2-3 years of experience in dental or medical front office or practice management
- Proven experience in high-end or quality-focused dental or medical practices preferred
- Strong knowledge of dental insurance, billing, and claims processes
- Experience with dental practice management software
- Excellent verbal and written communication skills
- High level of professionalism, emotional intelligence, and attention to detail
- Ability to manage multiple priorities while maintaining composure
