Dental Office Manager / Treatment Coordinator â Job Summary (Clean + Fun, but Real) Weâre looking for an experienced Dental Office Manager / Treatment Coordinator to help run the heartbeat of a busy, high-performing dental practice . If you love systems, people, and making a day flow smoothly (even when itâs chaos), youâll fit right in. This is a hands-on leadership role âyouâll oversee daily operations, guide the front office team, and keep scheduling, billing, and patient communication running tight. Youâll also work closely with the doctor and clinical team to coordinate treatment plans, answer patient questions, and help patients feel confident about their care and financial options. Key Responsibilities Lead daily operations: schedule flow, phones, patient experience, and front desk performance Coordinate treatment plans and case acceptance: communicate clearly, confidently, and compassionately Manage billing, insurance follow-up, and accounts receivable; keep collections organized and consistent Use practice software (especially Eaglesoft ; Dentrix experience also valued) to optimize workflows Supervise and support team members: training, accountability, and keeping morale strong Maintain excellent documentation and ensure compliance with HIPAA and office policies Track performance metrics and continuously improve systems, scripts, and efficiency Partner with clinical team to keep the day on time and patients taken care of What You Bring Proven experience as a Dental Office Manager, Treatment Coordinator, or similar leadership role in dentistry Strong leadership and communication skillsâcalm, direct, and professional Solid understanding of dental scheduling, insurance basics, billing/collections, and treatment coordination Comfortable using practice management software ( Eaglesoft preferred ) Highly organized, detail-driven, and able to prioritize under pressure Patient-first mindset with the confidence to discuss treatment and financial options Team player energy: proactive, accountable, and solutions-focused The Vibe Professional, upbeat, fast-moving, and focused on excellent dentistry and a great patient experience.
