Position Overview -
The Dental Appointment Coordinator serves as the first and last point of contact for our patients, setting the tone for their entire experience. This role requires a polished communicator who can anticipate needs, manage complex scheduling with accuracy, and maintain the highest level of professionalism and discretion.
You will work closely with our clinical and administrative teams to ensure seamless coordination of patient care, efficient daily operations, and a consistently elevated experience for every patient who walks through our doors.
Key Responsibilities -
- Warmly welcome patients and create a professional, inviting first impression.
- Manage the daily and long-term schedule to optimize patient flow and doctor time.
- Coordinate appointments, treatment consultations, and follow-up visits with precision and foresight.
- Communicate effectively with patients regarding treatment plans, financial arrangements, and scheduling needs.
- Maintain accurate and detailed records in the practice management software.
- Anticipate scheduling challenges and proactively resolve them before they impact operations.
- Collaborate with the clinical team to ensure smooth transitions between appointments and procedures.
- Handle patient inquiries with empathy, discretion, and a solutions-oriented mindset.
- Support the practice’s mission by upholding a culture of excellence, respect, and accountability.
Qualifications -
Minimum of 2 years of experience in a dental front office or appointment coordination role (fee-for-service experience preferred).
- Back office (RDA or DA) experience is also preferred.
- Strong understanding of dental terminology, scheduling protocols, and patient communication.
- Exceptional organizational skills with meticulous attention to detail.
- Professional, refined communication style—both verbal and written.
- Demonstrated ability to anticipate needs, take initiative, and follow through with ownership.
- Proficiency in dental practice management software and Mac computers.
- A calm, polished demeanor under pressure and a genuine desire to serve patients.
- Commitment to confidentiality, integrity, and the highest ethical standards.

Compensation: Competitive hourly rate of $25 -$35/ hour (commensurate with experience) + benefits
Schedule: Monday - Thursday 8:00am-5:00pm, Friday 8am-2pm
