We are seeking a dynamic and detail-oriented individual to serve as both Front Desk Receptionist and Treatment Coordinator (TC). This dual role is central to ensuring a seamless patient experience, from the first phone call to case acceptance. The ideal candidate will be personable, organized, and confident in patient communication, with the ability to manage both administrative tasks and treatment presentations. Key Responsibilities Front Desk Receptionist Duties: Greet patients warmly and create a welcoming environment. Answer incoming calls, emails, and texts promptly and professionally. Schedule and confirm appointments according to office templates and protocols. Manage patient check-in/check-out process, including collecting payments. Maintain accuracy of patient records in practice management software. Verify insurance benefits and input data accurately. Support billing, contracts, and patient financial arrangements. Assist with day-to-day administrative duties (faxing, scanning, office communication). Treatment Coordinator (TC) Duties: Conduct new patient consultations, including photos, x-rays, and charting as needed. Present treatment plans clearly and answer patient/parent questions with confidence. Review financial options, contracts, and payment plans. Build strong patient relationships to support case acceptance. Follow up with pending patients and maintain observation lists. Track and report on case acceptance metrics, starts, and conversion rates. Collaborate closely with the doctor and clinical team to ensure smooth patient flow. Participate in training, scripting, and role-playing to continuously improve consultation skills. Qualifications Minimum of 2 years’ experience in orthodontic or dental front office and/or treatment coordination (preferred). Excellent verbal and written communication skills. Strong organizational skills with attention to detail. Confident discussing financial arrangements and treatment plans. Proficient with dental/orthodontic software and Microsoft Office/Google Workspace. Ability to multitask and work efficiently in a fast-paced environment. Friendly, professional, and patient-focused demeanor. Spanish Speaking Performance Metrics Accuracy in scheduling, insurance verification, and payments. Case acceptance and conversion rates. Patient satisfaction and positive feedback. Contribution to team efficiency and office flow.
