GRiN Pediatric Dentistry & Orthodontics is looking for a motivated, organized, and personable Specialty Coordinator to help support our pediatric general anesthesia, oral surgery, and specialty case workflows across our growing group. This role is ideal for someone who enjoys patient communication, treatment coordination, scheduling, follow-up, and helping families feel confident moving forward with care. The position will include dedicated specialty coordination responsibilities during part of the week, while also supporting the front office with traditional dental receptionist duties during other parts of the day. About the Role The Specialty Coordinator helps guide patients and families through the process of scheduling and completing higher-level dental care, including pediatric general anesthesia cases and oral surgery cases such as third molars. This person plays an important role in helping families understand the process, complete necessary paperwork, schedule appointments, and feel comfortable with their financial and clinical next steps. The role also includes front office support such as answering phones, checking patients in and out, scheduling appointments, verifying information, collecting payments, and helping keep the office running smoothly. Key Responsibilities Specialty Coordination Coordinate pediatric general anesthesia and oral surgery cases from consultation through scheduling and completion. Help families understand treatment recommendations, financial options, insurance estimates, pre-operative requirements, and next steps. Follow up with pending patients through phone calls, texts, and emails to help answer questions and keep cases moving forward. Assist with pre-op paperwork, medical clearances, consents, imaging, financial agreements, and scheduling requirements. Work closely with doctors, clinical teams, front office teams, billing, and leadership to ensure a smooth patient experience. Track specialty cases, pending treatment, cancellations, completed cases, and areas where patients may be dropping off. Help standardize workflows, checklists, scripts, and patient communication for specialty cases across offices. Support team members with specialty-related questions and help improve consistency in how cases are presented and scheduled. Front Office / Dental Receptionist Duties Answer phones and communicate with patients in a friendly, professional manner. Schedule appointments and help manage the daily schedule. Check patients in and out. Verify insurance and patient information. Collect payments and review basic financial information with patients. Help maintain an organized, positive, and efficient front office environment. Assist with general administrative tasks as needed. Motivated by helping patients complete needed care. Able to travel between offices occasionally, if needed. Preferred Experience Dental front office experience preferred. Treatment coordinator experience strongly preferred. Experience with pediatric dentistry, oral surgery, orthodontics, general anesthesia cases, or specialty dental coordination is a plus.
