The Treatment Plan Coordinator is responsible for actively contacting and scheduling patients who have had a comprehensive exam but have not scheduled recommended treatment. This includes following up with patients on the unscheduled treatment list, those who missed or canceled appointments, and patients who never scheduled after their initial visit. The primary goal of this position is to improve treatment acceptance and keep the provider schedule full by ensuring patients receive timely follow-up and support. This role supports a fast-paced, high-volume dental practice and requires excellent communication, organization, and follow-through skills. The ideal candidate is comfortable managing multiple priorities while maintaining a high level of patient service and attention to detail. RESPONSIBILITIES Review and manage the unscheduled treatment list, including patients who: Had a comprehensive exam but never scheduled treatment Missed or canceled appointments (broken appointments) Are due or overdue for recommended care Contact patients via phone, text, or email to discuss treatment needs and schedule appointments Effectively communicate treatment plans and help patients understand the importance of recommended care Coordinate with clinical and front office team members to ensure seamless scheduling and communication Maintain accurate documentation and updates in our dental software system (Dentrix) Track conversion rates and follow-up outcomes to support practice growth and patient retention Provide support with insurance questions or financial options when necessary Contact patients a minimum of three days per week to improve scheduling and treatment acceptance. Spend two days per week training and presenting treatment plansonsite at assigned offices as needed. Improve and track treatment acceptance rates and provide feedback to support team performance. Utilize and maintain records on Jarvis to track patient communication and call outcomes. Train and mentor other team members on how to use Jarvis effectively for treatment follow-ups. Support Dental Assistants by training and mentoring them on treatment plan presentation techniques Assist in creating and refining scripts or tools to improve communication consistency and confidence across team members.
