Position Overview
As an Orthodontic Treatment Coordinator, you will serve as the first point of contact for new patients and the primary liaison between patients, families, and our clinical team. You will guide prospective patients through their journey from complimentary consultation to case acceptance while delivering an outstanding, world-class experience. Key Responsibilities
- Welcome and greet new patients and families with warmth and professionalism, setting the tone for the OWTAD Signature Smile experience
- Conduct new patient consultations, including capturing records using advanced technology such as iTero digital scanning (photos, X-rays), and presenting customized treatment plans with clarity
- Educate patients and parents about our full range of treatment options including braces, clear and lingual aligners (Invisalign, Spark), retainers, and other appliances
- Present and explain financing arrangements, payment plans, and insurance benefits (CareCredit, flexible monthly plans, automatic bank drafts); process contracts and coordinate with insurance carriers including Aetna, BCBS, Cigna, Delta Dental, Guardian, Humana, MetLife, and United Healthcare
- Achieve and maintain monthly case acceptance goals through effective communication and relationship-building
- Manage and follow up with observation/recall patients to schedule consultations at the appropriate time
- Coordinate with the clinical team to ensure seamless scheduling and patient flow
- Accurately maintain patient records, treatment notes, and financial documentation in practice management software
- Respond promptly to patient inquiries via phone, email, and text with professionalism and care
- Track and report KPIs including starts, conversion rate, and production
- Participate in team huddles and contribute to initiatives improving patient retention and practice growth
- Uphold strict HIPAA compliance and patient confidentiality at all times
Requirements
- Minimum 2-3 years of experience in an orthodontic or dental treatment/patient coordinator role (orthodontic experience strongly preferred)
- Proven ability to present and close treatment plans with strong case acceptance results
- Working knowledge of dental/orthodontic insurance verification, billing, and financial arrangements
- Proficiency with orthodontic or dental practice management software ( with Open Dental experince prefered)
- Exceptional interpersonal and communication skills; ability to build rapport with patients of all ages
- Strong organizational skills with meticulous attention to detail
- Ability to multitask and manage time effectively in a busy clinical environment
- Professional, polished appearance and demeanor
- Bilingual (English/Spanish) a plus but not required
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
