Joy of Orthodontics is seeking a motivated, personable, and highly organized individual to join our team as a Treatment Coordinator . This role is central to the new patient experience and is ideal for someone who enjoys building relationships, communicating clearly, and helping patients and families feel confident about starting orthodontic treatment. Our private orthodontic practice is focused on delivering excellent clinical care, a warm patient experience, and clear communication from the first phone call through the completion of treatment. We use modern technology, thoughtful systems, and a team-centered approach to help patients feel welcomed, informed, and well cared for. The Treatment Coordinator works closely with the orthodontist, clinical team, front desk, and financial team to guide new patients through the consultation process. This includes welcoming patients, assisting with exams, explaining treatment recommendations, reviewing financial options, coordinating follow-up, and helping patients move forward with treatment. This position may include cross-training with the front desk and clinic to support overall office flow. The ideal candidate is professional, upbeat, dependable, comfortable with technology, and able to manage multiple priorities while maintaining a positive patient experience. The Treatment Coordinator must be willing to travel between our Clayton and Wake Forest locations. Key Responsibilities Welcome new patients and families and create a positive first impression of the practice Build strong relationships with both children and adults Assist the orthodontist during new patient exams and consultations Help educate patients and families about recommended treatment options Clearly explain treatment next steps and help patients feel comfortable moving forward Review financial options and coordinate with the financial team as needed Communicate professionally with patients by phone, email, and in person Answer patient questions with confidence, patience, and clarity Schedule appointments and coordinate follow-up after consultations Communicate with referring offices and doctors when needed Support patient communication before and after the initial visit Help maintain accurate patient records and documentation Assist with front desk responsibilities when needed Assist in the clinic when needed, depending on training and office needs Support general administrative tasks, projects, and daily office operations Participate as an active, positive member of the team Qualifications and Skills Excellent interpersonal, verbal, and written communication skills Strong customer service skills and a warm, professional presence Ability to connect with patients and families in a friendly, confident, and helpful manner Comfortable discussing treatment, fees, and next steps with patients Strong organizational skills and attention to detail Ability to complete tasks efficiently while remaining flexible to patient and office needs Ability to multitask in a busy, patient-focused environment Self-motivated and able to take initiative without constant direction Team-oriented, dependable, and willing to help wherever needed Comfortable learning new systems, technology, and office workflows Prior customer service, sales, healthcare, dental, or orthodontic experience preferred Orthodontic experience is a plus, but we are willing to train the right person with strong communication, organization, and relationship-building skills Ideal Candidate The ideal candidate is someone who enjoys people, takes pride in doing excellent work, communicates well, and can help patients feel comfortable making important decisions about their care.
