The Treatment Coordinator serves as the patient’s primary introduction to Sing Orthodontics. This role is responsible for the new patient exam process and initiating treatment starts. The Treatment Coordinator warmly welcomes patients, assists the doctor during exams, clearly explains treatment options, addresses patient inquiries, discusses costs, and arranges payment plans. Key Expectations - Professionalism: Maintains a cheerful, positive personality and a professional, well-groomed appearance. - Qualifications: Texas RDA license and BLS CPR certification required. - Communication: Articulate and calm speaking voice; strong writing skills with proper grammar. - Sales & Psychology: Understands consumer psychology and utilizes consultative selling to guide families toward the best investment for their needs. - Interpersonal Skills: Ability to listen actively to address patient concerns and fears, making them feel comfortable and calm. - Reliability: Punctual with reliable transportation; willing to travel between office locations as required. - Performance: Consistently achieve or surpass new patient start goals through effective sales techniques and excellent customer service. - Compliance: Meticulous adherence to lab processes, employee safety protocols, and OSHA guidelines. - Traveling might be required Key Success Measures - Consistently achieve daily, monthly, and annual new patient start goals. - Maintain a minimum 85% conversion rate. Activities & Responsibilities - Build rapport with potential patients and their families. - Collect relevant patient information, including photographs and X-rays. - Review records and prepare pertinent information for the doctor’s diagnosis. - Introduce the doctor and assist during the exam process. - Provide clear answers regarding orthodontic treatments, fees, and insurance. - Record clinical findings and manage payment arrangements using all available options (pay in full, payment plans, etc.). - Coordinate with the patient’s general dentist for cleanings and scheduled work. - Maintain excellent personal and oral hygiene. - Comply with all Sing Orthodontics policies and procedures. Behaviors - Conducts self in a professional and respectful manner with all team members and doctors. - Communicates via phone, email, and text with a friendly tone and appropriate grammar. - Maintains a positive attitude and remains coachable and open to constructive criticism. - Demonstrates a proactive willingness to assist team members. Skills & Knowledge - In-depth knowledge of orthodontic terms, clinical procedures, and treatment philosophies. - Proficiency in reading panoramic and cephalometric X-rays. - Strong sales, influence, and human relations skills. - Understanding of fee structures, insurance, and payment contracts. - Ability to multitask with a sense of urgency and attention to detail. - Proficiency in Microsoft Office, Google Drive, and patient management systems (e.g., Dolphin and Aquarium). Working Conditions & Occupational Hazards - Requires repetitive movement, bending, twisting, and standing for long periods. - Occasional heavy lifting. - Potential exposure to contaminants or infections; requires use of protective safety equipment. Additional Requirements -Texas RDA -Current CPR - Fluency in English (reading, writing, and speaking); Bilingual skills preferred. - Prior experience in hard and soft sales. - Ability to perform Appliance and Invisalign scans. - Flexibility to work at different locations and attend mandated training or on-call days.
