Position Summary The Assistant Front Desk Manager plays a key leadership role in ensuring the front office runs efficiently while delivering a five-star patient experience. This position supports the Front Desk Manager and Practice Owner with scheduling, team coordination, patient communication, insurance administration, collections, and daily operations. The ideal candidate is an experienced dental receptionist who is ready for the next step in their career. Responsibilities Patient Experience Welcome every patient with warmth and professionalism Deliver exceptional customer service from check-in through check-out Build long-term relationships with patients Resolve patient concerns professionally and compassionately Maintain our 5-star patient experience standards Scheduling & Productivity Optimize the doctorâs and hygienistsâ schedules Fill cancellations and minimize downtime Confirm appointments using phone, text, and email Manage same-day treatment opportunities Monitor schedule efficiency and production goals Insurance & Financial Coordination Verify insurance benefits Submit and track insurance claims Explain treatment estimates and financial arrangements Collect patient payments and balances Follow up on outstanding insurance claims Treatment Acceptance Present treatment plans confidently Help patients understand recommended treatment Increase treatment acceptance through excellent communication Coordinate financing options when appropriate Schedule pending treatment Administrative Duties Answer multi-line phones Manage patient records Process referrals Handle incoming and outgoing correspondence Maintain HIPAA compliance Ensure accurate documentation Leadership Responsibilities Assist with daily front office operations Help train and mentor front desk team members Maintain office policies and workflows Support the Practice Owner with operational projects Help solve daily challenges proactively Foster a positive, team-oriented culture Qualifications Required Minimum 2 years of dental front office experience Experience with dental insurance verification Knowledge of PPO insurance plans Strong communication skills Excellent organizational abilities Professional appearance and attitude Ability to multitask in a fast-paced environment Strong computer skills Preferred Experience with Open Dental Treatment coordinating experience Leadership or supervisory experience Knowledge of insurance claims and collections Spanish or other bilingual abilities (a plus) Weâre Looking For Someone Who Is Positive and energetic Friendly and compassionate Highly organized Detail-oriented Self-motivated Reliable Honest and accountable Calm under pressure Coachable Team-oriented Professional Growth-minded Solutions-focused Benefits We believe great team members deserve a great workplace.
