Dental Office Manager & Insurance Coordinator Help Build a New Private Dental Practice from the Ground Up Beachside Dental is a new, independently owned private dental practice in Sarasota. We are looking for an experienced dental front-office professional who wants more than an ordinary desk position. This is an opportunity to help establish, organize, and grow a practice from its earliest daysâand become a central part of the team we build. We are starting with a new patient base, so growth will be gradual at first. We need someone who understands how to turn that beginning into a thriving practice: answering every call professionally, creating an outstanding patient experience, maintaining an efficient schedule, following up consistently, managing insurance correctly, and making sure important work does not fall through the cracks. This is a hands-on position. Because we are a small startup practice, there will not be separate departments for scheduling, insurance, billing, treatment coordination, and office management. Initially, one experienced person must be willing and able to manage the full range of front-office responsibilities. What You Will Do Patient Communication and Scheduling Answer incoming calls promptly and professionally Welcome patients and create a warm, organized front-office experience Schedule appointments strategically to support efficient practice growth Confirm appointments and follow up on unscheduled treatment Respond to patient questions, messages, and scheduling concerns Maintain accurate patient information, forms, and records Help develop recall, reactivation, referral, and new-patient follow-up systems Dental Insurance and Accounts Receivable Verify insurance eligibility and benefits Explain estimated insurance coverage and patient responsibility Prepare and submit accurate dental insurance claims Attach required documentation, narratives, radiographs, and supporting records Track outstanding claims and follow up promptly Investigate rejected or denied claims and submit corrections or appeals Post insurance and patient payments accurately Review aging and accounts-receivable reports Follow up on unpaid insurance and patient balances Maintain accurate fee schedules and insurance-plan information Treatment Coordination Prepare clear treatment estimates and financial arrangements Present treatment plans confidently and compassionately Help patients understand the recommended treatment sequence, insurance estimates, financing options, and next steps Answer nonclinical questions and reinforce education provided by the dentist Follow up with patients who have not scheduled recommended treatment Help improve treatment acceptance without creating a high-pressure environment Practice Operations and Growth Help establish efficient front-office policies, systems, and workflows Run and interpret scheduling, production, collections, insurance, and accounts-receivable reports Track practice performance and communicate important trends to the owners Identify problems, recommend solutions, and follow through to completion Monitor new-patient inquiries and scheduling conversion Help develop systems that support steady new-patient growth and retention Coordinate with outside vendors and service providers when needed Assist with practice marketing, community outreach, patient reviews, and referral efforts Support hiring, onboarding, and training as the practice grows Take ownership of the front office and handle the administrative tasks necessary to keep a small practice operating smoothly Who We Are Looking For The right person is experienced, dependable, resourceful, and comfortable working independently. You should be able to recognize what needs attention and take appropriate action without waiting to be given step-by-step instructions. You may be a strong fit if you: Have substantial dental front-office experience, including insurance and billing Understand how the different parts of a dental practice work together Have helped open, organize, improve, or grow a dental practice Can manage claims, denials, aging reports, patient balances, and treatment presentation Are comfortable answering phones and completing routine administrative work as well as higher-level management responsibilities Are organized and attentive to detail Communicate professionally in person, by telephone, and in writing Remain friendly, composed, and solutions-focused when problems arise Follow through consistently and take responsibility for results Work well with a dentist and a small, close-knit team Want to help build a practice rather than simply fill a position Required Qualifications At least three years of dental front-office experience Hands-on dental insurance and claims-management experience Working knowledge of CDT codes, insurance estimates, EOBs, denials, appeals, accounts receivable, and treatment plans Experience running and reviewing dental practice-management reports Strong computer, written communication, telephone, and organizational skills Professional appearance and demeanor Reliable attendance and punctuality Ability to work the complete Tuesday, Wednesday, Friday, and Saturday schedule Experience with Open Dental and experience helping open or grow a private dental practice are strongly preferred.
