Front Office Coordinator

Most people are good at one half of this job. There's the person who's warm with patients and makes everyone feel taken care of, but the details slip. And there's the person who never misses a benefit breakdown but treats the waiting room like an inconvenience.
We're looking for the rare one who is both. If that's you, you already know it, and you've probably spent your career being asked to prove only half of it at a time.
About us.
Aqua Dentistry is a small, growing practice on Meridian Avenue, just north of Willow Glen. Dr. Aishwarya Kumar built it around a specific standard: dentistry that feels boutique. Careful, unhurried, personal. Patients get remembered. Details get caught before they turn into problems.
We're adding to the front office team, which means you'll be joining a practice that's building.
What will surprise you.
In a practice this size you'll see your own fingerprints on the business. The nervous patient who came back because of how you handled the call. The month collections came in clean because you got the verification right in January. The hygiene column that's full because you worked the recall list. At our practice we listens, invests in our people, and gives them the tools to do the job well. Not every practice can say that honestly. This one can.
The three things that actually matter.
Hospitality. You understand that how someone is greeted, walked through a hard moment, and sent off shapes their entire opinion of their care. You do it because it's who you are, not because it's in a script.
Precision. You double-check. You catch the thing before it becomes a phone call two weeks later. You're the person who noticed a hole in the schedule three days out and filled it before anyone asked.
Growth mindset. You want to get better and you welcome constructive feedback. When you don't know something, you say so and then go learn it.
Those three are non-negotiable. Everything else we can teach.
What the job is.
You run the front. You own the schedule. Welcoming patients and setting the tone for the visit, accounts receivable, schedule density and recall, treatment plan financials, and the hand-off with the clinical team that keeps the day moving.
Dental front office experience, especially fee-for-service and PPO, will get you up to speed faster, but we'd rather train the right person than settle for the wrong one. So, if you've built a reputation for warmth and reliability somewhere else and you're serious about learning this, apply anyway and tell us why. If this isn't you, that's fair.
We're small. We are Growing! Means the role will change on you more than once. If you want a predictable desk where the phone is the whole scope, you'll be happier elsewhere and we'd rather be upfront about that now.
The details.
$30 to $35 an hour depending on experience. Full time, 40 hours. Monday through Friday, Mon- Thu 8:00 to 5:00; Friday 8-4. Health insurance, dental, 401(k) with match, paid time off, and real professional development support.
