Front Office Team Member Breathe Deep Dental | Bend, Oregon We’re looking for a wonderful human to join our front office team! Are you that person? Are you tired of office drama & dreading going to work? Are you ready to love where you work and love who you work with and leave work fulfilled and refreshed? At Breathe Deep Dental, we help cure professionals from their past office trauma! We are not that office! Our Mission: A sustainable dental practice that changes how people feel about going to the dentist, and where our team is proud to belong. We are a happy office of professionals with a variety of backgrounds and lifestyles. We bring our professionalism and entrepreneurial spirit to make Breathe Deep Dental the best dental experience people have ever had! (Have you seen our Google reviews?) It’s about trust, education, and top-notch quality where team members and patients feel genuinely cared for. We build relationships with our patients. We need someone who is interested in remembering details about our patients and their lives, so that caring for them is customized. We’re looking for a warm, happy, smiley, humble, honest, put-together, organized, confident, and personable Front Office Team Member. Someone who can greet every patient and make them feel welcome and acknowledged, answer the phone with positivity, navigate the occasional insurance puzzle, keep the schedule moving, and still have a great time, that’s what we want! What You’ll Do Welcome patients and create a calm, friendly first impression Answer phones, texts, and emails with warmth and professionalism Schedule and coordinate patient appointments, collecting patient forms etc. Review treatment plans and help patients understand their financial options Communicate estimates clearly, comfortable talking money Process payments, balance daily deposits, and use multiple payment systems Communicate with referral specialists and other offices for records Keep patient records accurate and up-to-date Help maintain an organized, efficient front office Work closely with the clinical team to create a seamless patient experience Notice what needs to be done and take ownership rather than waiting to be asked There maybe some tasks outside this list that could be part of the job We’d Love Someone Who Is Kind. Your default personality is to be kind to all. Organized. You keep a tidy workspace, computer desktop and keep track of communication and tasks. Communicator. You listen, speak and aren’t afraid to have honest conversations. Confidence. You can talk comfortably about treatment, fees, insurance, and financial policies. And understand these policies are for your protection as well as the patient and the practice. Curious. Seek to understand the “why,” in what we do and recommend. Accountable. When something goes sideways, own up to it, care for it, mention it if it’s a real problem, care for the mistake. Move on. Reliable. Consistent, with minimal work absences, timely. Team player. You understand that everyone on the team matters. No one is above another in terms of tasks or duties. Fun. We work hard, but we also believe laughter belongs in the workplace. OUR VALUES TEAM PLAYER OWNERSHIP MINDSET PROFESSIONAL EXCELLENCE INVITATION CUSTOMER SERVICE TEAM PLAYER We pride ourselves on being self-motivated with a strong work ethic. We are team-first — we look past our own position for the good of the whole team. We show up for each other — helping when we're needed, asking for help when we need it, and being someone the rest of the team can count on. We are the kind of person the rest of our team wants to be around. We treat our attendance as something the whole team depends on, because it is. We give each other grace and the benefit of the doubt. OWNERSHIP MINDSET We own our roles and our mistakes. When we see a problem, we solve it — we don't pass it along. We take initiative instead of waiting to be told. We empower people to take on projects, create systems, and implement new ideas to improve patient care. PROFESSIONAL EXCELLENCE We have a self-driven expectation of being a professional in a medical field, and we act with integrity. We are prepared and present to bring the best care we can to our patients. We never stop learning — professionally and personally — and we commit to continuous learning because there's something new to learn every day. We take responsibility for staying current, because our patients deserve scientifically up-to-date, whole-person care. We hold ourselves to high standards, not because someone's watching, but because it's who we are — when in doubt, we do the right thing. INVITATION - COMMUNICATION We invite the hard conversation instead of waiting for it. When it comes, we get curious, not defensive. We commit to kind, honest, and direct communication with each other and with patients, and we aim for transparency in the why behind what we do. Half of good communication is good listening — we ask and listen with open hearts and compassion, and we create space for people to be heard. We don't let things go unsaid just because they're uncomfortable, because trust and vulnerability are built by staying open with each other, not by staying comfortable. CUSTOMER SERVICE We genuinely care about the well-being of our patients and each other. We listen first, and we try to see every situation from the other person's perspective — especially when someone is struggling with anxiety, finances, or fear. We back that care up with reliable, efficient service, seating them on time, following through, and doing what we said we'd do. We meet people where they are, without judgment. Most people walk in braced for something unpleasant. We go further so they don't have to be. We're in the business of serving people, not just treating teeth. Does this sound like you? Would you like to be part of our team? We’d love to hear from you! Dental front office experience is helpful! Scheduling, insurance knowledge, accounting, treatment coordination & patient software management is preferred but not required for the right person. We can teach dental terminology, insurance systems, and workflows. It’s much harder to teach genuine care, curiosity, emotional intelligence, and personal responsibility. Let’s play!
