Office Manager — Be the Heartbeat of Our Dental Practice
Do you love making things run like clockwork?
We're looking for an Office Manager who gets a little thrill out of a smooth morning huddle, a balanced daysheet, and a schedule that actually flows. Someone who walks into a busy day and thinks, "I've got this."
Our team is close-knit, our patients are wonderful, and we're ready for a leader who can keep all the moving pieces humming while helping our people grow.
Who you are
You're the person who follows through on what you promise. You see the big picture and notice the paper clip on the floor. You're honest, fair, and patient — and when a team member has a concern or a patient has an unusual situation, you handle it with grace. You're always looking for a better way to do things, and you're not afraid to suggest it.
You're also a natural cheerleader. You know how to measure performance without making people feel measured, and you genuinely enjoy watching someone get better at their job.
What your days look like
- Leading the morning production meeting and setting the tone for the day
- Keeping patient flow smooth and efficient from check-in to checkout
- Supervising and supporting the team — questions, concerns, coaching, celebrating wins
- Making financial arrangements with patients and documenting them clearly
- Daily deposits, balancing to the daysheet, and running backups
- Jumping into any front office role when we need an extra set of hands
Zooming out to weeks and months
- Tracking production, collection, and new patient numbers, and sharing them with the team
- Bi-weekly one-on-ones with each team member — real conversations about goals, growth, and what could be better
- Inventory, supply ordering, and petty cash
- Coordinating vacations, CE, payroll accuracy, and team meetings
- Monthly reports, month-end close, and referral tracking
- Performance reviews in January and June, plus annual reviews alongside the doctor
- Owning the hiring process: posting roles, screening applicants, onboarding new hires, and making sure day one feels welcoming
What you'll bring
- Dental office experience is required — you already speak the language of insurance, treatment plans, and recall
- Strong working knowledge of Dentrix is highly preferred — if you can run reports and troubleshoot without blinking, we want to hear from you
- Experience leading or supervising a team
- Strong communication skills and a steady, positive presence
- Discretion with confidential patient and employee information
- A servant-leader mindset: you make everyone around you better
What we offer
- $55,000–$68,000 per year, based on experience
- Monthly performance bonuses
- Paid time off and paid holidays
- Health insurance
- 401(k)
- Dental care for you and your family
- A team that actually likes each other
- A doctor who wants your input and trusts you to run the business side
