Mitten Kids Dentistry & Orthodontics | Grand Rapids & Caledonia, MI We're looking for an exceptional Treatment Coordinator to join our crew! But we're not looking for just anyone who can schedule appointments, collect payments, and navigate dental insurance. We're looking for someone who loves connecting with people, thrives on organization and accuracy, thinks critically, and believes being part of an incredible team is just as important as doing an incredible job. Sound like you? Keep reading. We might just be your people! About Us At Mitten Kids Dentistry & Orthodontics, we're on a mission to provide top-tier pediatric dental care while creating fun, positive, and memorable experiences for children and their families. We view our team as an extension of our families, and we believe our greatest successes happen when we work together, support one another, and genuinely enjoy what we do. We take our work seriously, but ourselves? Not so much. We laugh, celebrate, challenge each other, and hold ourselves to high standards because our patients, families, and teammates deserve nothing less. Our Core Values – AKA, How We Roll Our core values aren't just words on a wall. They're how we show up for each other every single day! Good Vibes, Great Attitude – We bring positivity and a solution-focused mindset. Expect Excellence – We take pride in our work, pay attention to details, and strive to improve. Team First – We support one another and recognize that no one wins alone. Do the Right Thing – We lead with integrity and take ownership of our actions. Be Open and Honest – We communicate respectfully, welcome feedback, and aren't afraid of hard conversations. A Day in the Life of a Treatment Coordinator Our Treatment Coordinators are the bridge between our clinical team and the families we serve. This role goes beyond checkout. It's about building trust, helping families understand their child's dental care, and ensuring every detail is handled accurately and confidently. Your day will include: Presenting treatment plans and explaining insurance benefits, estimated costs, and financial responsibilities. Collecting payments, reviewing patient accounts, and ensuring billing accuracy. Recognizing discrepancies, asking thoughtful questions, and taking initiative to resolve concerns before they become problems. Coordinating treatment appointments and collaborating with our clinical and administrative teams. Navigating parent conversations with compassion, confidence, and professionalism. Creating exceptional experiences for our patients and their families. Our day begins around 7:30 AM with a team huddle at 7:50 AM. Patient care begins at 8:00 AM, and we're typically wrapping up by 3:30 PM! This Role Is for You If... You genuinely enjoy connecting with people and making them feel valued. You have a sharp eye for detail and recognize when something doesn't look quite right. You don't just follow a process; you understand the why behind it and ask questions when something doesn't make sense. You take pride in accuracy and understand that even small errors can have a big impact. You can confidently discuss money, insurance, and treatment recommendations with families. You thrive in a busy, fast-paced environment and can prioritize without sacrificing quality. You love organized systems, checklists, and procedures. (We LOVE a good checklist!) You communicate clearly, professionally, and compassionately, even during challenging conversations. You welcome feedback, take accountability, and are always looking for ways to improve. You believe teamwork means jumping in to help, even when something isn't technically "your job." You bring positive energy, a strong work ethic, and a solution-focused attitude. Bonus points if you can laugh at yourself, roll with the unexpected, and appreciate a little organized chaos! This Role Is NOT for You If... We're proud of our culture, and we know we're not the perfect fit for everyone. And that's okay! You tend to rush through tasks without double-checking your work. You overlook inconsistencies or assume someone else will catch mistakes. You struggle with accountability, feedback, or direct communication. You're uncomfortable discussing financial responsibilities with families. You prefer working independently rather than collaborating with a team. You focus more on problems than solutions. You struggle to stay positive and professional when things get busy. We can teach you our systems, but attention to detail, curiosity, integrity, and a willingness to grow are essential. What Winning Looks Like We set our team members up for success through: 3-4 weeks of hands-on training and continued support. Detailed office manuals, checklists, and clearly established procedures. Supportive leadership, open communication, and consistent feedback. A team that works hard, celebrates wins, and genuinely cares about one another. Our Deal Breakers Unreliable attendance or lack of accountability. Negativity that brings down the team. Unwillingness to ask questions or help others. Qualifications: 1+ years of dental or medical office experience, strong computer skills, and familiarity with dental insurance and patient financial responsibilities required. Typing speed of 50 WPM preferred. What's Next? Smile, Adventure Awaits! Still reading? Still smiling? Already picturing yourself here? We're not just looking to fill an opening. We're looking for the right person to become part of something pretty special! If you're looking for more than just another front desk job and want to work alongside driven, caring, fun-loving people who are passionate about making a difference, we'd love to meet you. To apply: Send your resume and a brief paragraph telling us which of our five core values resonates with you most and how you demonstrate it in your work. If we think we're a great match, we'll reach out within a week to schedule a phone interview. Job Type: Part-time Pay: $21.00 - $23.00 per hour Benefits: 401(k) 401(k) matching Dental insurance Disability insurance Employee assistance program Employee discount Health insurance Life insurance Paid sick time Paid time off Vision insurance Application Question(s): How many years of dental/medical billing experience do you have?
