Founding Patient Coordinator — Aera Dental Location: Lake Nona, Orlando, FL Compensation: $23-$29/hour Schedule: Full-time; clinical schedule approximately 3 days/week initially as the practice grows Opening: January 2026 Help us build something exceptional from the beginning. Aera Dental is a new, privately owned dental practice being built in Lake Nona around a simple idea: exceptional dentistry and an exceptional patient experience should be inseparable. We are looking for an experienced Patient Coordinator to join us as one of Aera's founding team members . This is different from stepping into an established office and learning how things have always been done. You will help establish how things are done. From the first phone call to the final follow-up, our goal is for patients to encounter a practice that feels thoughtful, personal, organized and genuinely invested in their care. The Patient Coordinator will be central to making that happen. About the role You will often be the first person a patient meets at Aera and the person who helps connect the different parts of their experience. That makes this much more than a front-desk position. You'll learn why a new patient is coming to see us before they ever walk through the door. You'll help them understand what to expect. You'll make sure important information reaches the clinical team. You'll help patients navigate scheduling, insurance and financial questions clearly and confidently. And you'll help ensure that the experience we promise patients is actually carried through from one interaction to the next. As a founding team member, you'll also help us build and refine the systems behind that experience. We're looking for someone who takes ownership, communicates exceptionally well, notices details, and genuinely enjoys helping people. What you'll help us deliver Your responsibilities will include: Creating a warm, professional and personal first impression for every patient Answering new-patient calls and understanding what prompted someone to contact us, their goals and any immediate concerns Helping patients understand what to expect from their first visit and preparing them appropriately Scheduling patients thoughtfully based on their needs and the requirements of the appointment Maintaining an organized and productive schedule while protecting the quality of the patient experience Coordinating appointment confirmations and proactively addressing potential cancellations or scheduling problems Verifying dental benefits and communicating coverage clearly without allowing insurance to dictate the conversation about care Explaining fees, payment arrangements and financing options in clear, comfortable language Collecting patient payments and maintaining accurate financial records Managing insurance claims, billing and accounts receivable Helping maintain healthy collections and following up appropriately on outstanding balances Ensuring important patient information, goals and preferences reach the appropriate team member before the patient has to repeat them Coordinating clear handoffs between the patient, clinical team, doctor and other team members Following up with patients when needed so questions and next steps don't fall through the cracks Monitoring key front-office metrics and helping identify opportunities to improve our systems Helping develop and refine the workflows, scripts and standards future Aera team members will use This is a startup practice, so everyone on the founding team should also be comfortable occasionally stepping outside a narrow job description when the practice needs help. Teamwork and ownership matter here. The person we're looking for You may be a great fit if you: Have 2+ years of dental-office experience Have meaningful experience with dental insurance verification and billing Communicate naturally and confidently with patients Are an excellent listener and remember the details people tell you Can discuss money comfortably, respectfully and without pressure Understand dental terminology and can communicate administrative and financial information without trying to diagnose or provide clinical advice Are organized enough to manage multiple moving pieces without making patients feel rushed Notice problems before they become problems Take ownership rather than waiting to be told what to do Are dependable and punctual Are comfortable learning new technology and new ways of working Welcome feedback and look for ways to improve Want to help build something rather than simply inherit someone else's systems Experience with comprehensive or cosmetic dentistry, larger treatment plans, financing, treatment coordination or a high-service private-practice environment is especially valuable. What you can expect from us High expectations go both ways. We have high expectations for the experience our team delivers. We expect excellent communication, personal responsibility, attention to detail, thoughtful follow-through and a genuine desire to make every patient feel exceptionally well cared for. In return, we believe it is our responsibility to give our team the environment, training, technology and systems necessary to consistently work at that level. Aera is being built from the ground up with thoughtful workflows and modern technology supporting the team behind the scenes. Patient information should be available when you need it. Handoffs should be clear. Routine communication and administrative processes should be organized and supported by systems rather than relying on someone to remember everything. That leaves more room for the work that actually requires you: listening to the person on the phone, noticing that someone is confused about their benefits, recognizing that an anxious patient needs a little more attention, finding a scheduling solution, explaining financing without making someone uncomfortable, and making sure a patient never feels lost between one part of their care and the next. When we establish a standard, we'll support it with training, clear expectations and the right tools to carry it out. And because you'll be joining us at the beginning, you'll have a voice in refining those systems as we learn what works best. You won't just be learning how Aera works. As a founding team member, you'll help establish how Aera works. Growth at Aera Aera will initially begin with a smaller clinical schedule while our patient base develops, but this is intended to be a full-time position. We're looking for someone interested in growing alongside the practice. For the right person, that can mean increasing responsibility as the team expands—helping train future team members, improving systems, taking ownership of parts of the patient experience and potentially developing into a leadership role as Aera grows. We're not looking for someone simply to cover the front desk. We're looking for one of the people we'll someday be able to say was here when Aera began. Benefits Competitive compensation Paid time off and paid holidays for eligible team members Complimentary/discounted dental care Continuing-education and professional-development support Training and certification support where appropriate Aera-provided uniforms Opportunities for increased responsibility and leadership as the practice grows Additional benefits as the practice and team expand Pay: $23.00 - $29.00 per hour Expected hours: 32.0 per week Work Location: In person
