Bilingual Dental Front Desk & Scheduling Coordinator Smiles of Sterling | Sterling, VA | In person Pay: $23–$26 per hour, based on experience ABOUT THE ROLE Smiles of Sterling is looking for a warm, proactive front desk professional who takes ownership of the appointment schedule. Your main goal is to keep our doctor and hygiene schedules full, well organized, and running smoothly while helping patients feel welcomed, informed, and cared for. This role is a great fit for someone who notices an opening and takes action, follows through without repeated reminders, and enjoys building relationships over the phone and in person. Strong communication in both English and Spanish is required. Dental office experience is preferred. WHAT YOU WILL DO Own the daily and upcoming appointment schedules: review openings, anticipate gaps, and take timely action to fill them. Proactively fill cancellations and short-notice openings using a well-maintained waitlist and targeted patient outreach. Follow up consistently with patients who have unscheduled recommended treatment, overdue hygiene visits, or missed appointments; document each contact and next step. Turn incoming calls and appointment inquiries into scheduled visits through attentive listening, clear explanations, and prompt follow-up. Confirm appointments, address scheduling barriers, and help reduce preventable cancellations and no-shows. Schedule appropriate appointment lengths and sequences in coordination with the clinical team, keeping patient needs, provider availability, and office scheduling guidelines in mind. Help patients schedule their next recommended visit before leaving the office. Communicate clearly and professionally in English and Spanish by phone, in person, and through office messaging systems. Welcome patients, manage check-in and check-out, and maintain accurate patient information and appointment notes. Coordinate insurance verification, explain verified estimates and office payment policies within your training, and route billing or coverage questions to the appropriate team member. Keep the clinical team informed about schedule changes and patient concerns, and support other front desk tasks as needed. WHAT WE ARE LOOKING FOR Strong spoken and written communication in English and Spanish, including the ability to explain scheduling details and routine office information clearly. A dependable, dedicated work ethic and strong ownership: you keep commitments, close the loop, and ask for help early when needed. A humble, coachable attitude: you welcome feedback, acknowledge mistakes, and treat every patient and teammate with respect. Confident, friendly phone skills and persistence with patient follow-up, without pressure or pushy sales tactics. Strong organization, attention to detail, and the ability to prioritize calmly in a busy office. Comfort learning dental software and keeping accurate outreach records. Dental front desk, scheduling, treatment coordination, or patient service experience preferred. Dentrix or Dentrix Ascend experience is a plus. Candidates with strong scheduling and customer service experience outside dentistry are also encouraged to apply. WHAT SUCCESS LOOKS LIKE Available appointments are identified early and filled proactively with appropriately scheduled patients. Patient inquiries, cancellations, and follow-up tasks receive timely attention and clear documentation. Patients understand their next steps and feel respected and supported. The team can rely on you to communicate clearly and follow through. COMPENSATION & BENEFITS $23–$26 per hour, based on experience. Employee discount. Scheduling flexibility, coordinated with practice coverage needs. TO APPLY Please submit your resume and a brief note describing your English and Spanish communication skills and an example of how you filled schedule openings, followed up with customers or patients, or took ownership of a problem at work. Job Type: Full-time Pay: $23.00 - $26.00 per hour Benefits: 401(k) Employee discount Paid time off Experience: Customer service: 1 year (Preferred) Computer skills: 1 year (Preferred) Language: English (Required) Spanish (Preferred) Work Location: In person
