Strong communication skills and a passion for helping families are essential. Customer Service Requirements Employees in this role represent the face of the practice and must consistently uphold a high standard of patient service. Requirements include: Professional, friendly, and patient-centered communication with families, children, and adult patients at all times. Ability to de-escalate concerns and resolve issues calmly using empathetic language and active listening. Timely follow-up on patient questions, messages, and requests, both in-person and via phone or written communication. Clear, accurate explanations of appointment details, financial responsibilities, office policies, and treatment processes. Respectful and courteous interactions with patients of diverse backgrounds, cultures, and communication styles. Ability to maintain composure under high call volumes, busy appointment schedules, or stressful situations. Commitment to confidentiality and professionalism when discussing patient information. Positive, team-oriented attitude to support consistent and seamless patient experiences across all departments. Reliability and punctuality , ensuring patient service needs are consistently met during operating hours. Essential Duties & Responsibilities (Duties vary by role; reasonable accommodations provided per CA law.) Patient Interaction & Front Office Support Greet patients and families with a warm, welcoming attitude. Manage patient check-ins, check-outs, and intake forms. Answer phones and respond to inquiries using approved service standards. Assist patients with understanding treatment plans, insurance coverage, and financial responsibilities. Scheduling & Appointment Coordination Schedule, confirm, and manage appointments efficiently. Monitor patient flow and communicate delays proactively. Maintain accurate calendars for multiple providers. Administrative & Documentation Tasks Update patient records in compliance with HIPAA and California privacy laws. Handle forms, correspondence, referrals, and documents accurately. Process payments and assist with billing questions (as applicable). Insurance, Eligibility & Billing (Role Specific) Verify insurance benefits and eligibility using approved systems. Provide accurate financial estimates and communicate pre-authorizations when necessary. Assist with payment posting, account follow-up, and patient billing. Treatment Coordination (Role Specific) Present treatment plans and answer non-clinical questions. Ensure forms and consents are completed appropriately. Coordinate scheduling between clinical and administrative teams. Compliance Follow HIPAA, OSHA, California Dental Board, infection control, and safety policies. Protect patient privacy at all times. Teamwork & Professional Growth Participate in meetings, trainings, and continuing education. Support clinical and administrative staff to create a seamless patient experience. Uphold company service standards and contribute to a positive work culture. Qualifications Required High school diploma or equivalent. Strong customer service and communication skills. Ability to multitask and remain organized in a fast-paced environment. Proficiency with computers; ability to learn dental software. Preferred Dental or medical office experience. Treatment coordination or insurance verification experience. Bilingual skills (especially Spanish) are valued but not required. Physical Requirements With or without reasonable accommodation: Sit, stand, and walk for extended periods. Use standard office equipment. Lift up to 20 lbs. occasionally. Communicate clearly in person and by phone. Work Environment Busy, high-volume pediatric and orthodontic practice. Frequent interaction with children and families. Moderate noise level.
