We are excited to announce that Dentistry of Arizona is currently looking for a dedicated and professional Dental Treatment Care Coordinator to join our team. This is a Full-Time (Monday-Thursday) position ideal for someone passionate about comprehensive dental care and patient management. We are a patient-centered PPO/FFS private practice. The Dental Treatment Care Coordinator at Dentistry of Arizona acts as a crucial liaison between our patients and the dental care team. The prospective candidate will play a vital role in enhancing the patient experience by communicating detailed aspects of treatment plans, financial agreements, and coordination of care. The Coordinator ensures that every patient is well-informed, comfortable, and prepared for their dental treatments, reflecting our clinic's commitment to high-quality care and patient satisfaction. Duties and Responsibilities Act as the primary point of contact for patients, explaining treatment options and plans methodically and empathetically. Discuss financial costs and various payment options with patients, ensuring they are fully informed and comfortable with their commitments. Discuss Sunbit financing with patients and help them enroll Collect payment and record in software appropriately Coordinate effectively with our insurance billing team to follow-up on patient A/R Be responsible for managing patient A/R; professionally informing patients at regular intervals of their patient balance and collecting payment Schedule appointments, follow-ups, and manage the dental office schedule to optimize patient flow and treatment timelines. We will provide training with our Practice by Numbers management software. Utilize Practice by Numbers to communicate with patients, follow-up with patients with pending treatment, and ensure all patients have a pre-booked recare visit. Review and confirm dental treatment plans and consent forms with patients, ensuring clarity and accuracy. Verify insurance benefits. Obtain detailed breakdown for new patients and annual eligibility for existing patients. Coordinate with our medical insurance billing company for our sleep apnea appliance patients Develop and maintain strong relationships with patients, enhancing their trust and loyalty to the facility. Ensure compliance with all health, safety, and infection control regulations within the practice. Maintain a tidy, professional, and clean front lobby, front desk, and patient restroom. Maintain and report to doctor the practice’s New Patient and production/collections data on a monthly basis Requirements MUST HAVE 1-2 years of experience in a dental office as either a dental assistant or front office personnel. Prior experience in a Dental Treatment Care Coordinator position or similar role is highly encouraged. Competence in using dental software. Experience with Dentrix is preferred. Ability to pass a background check Excellent communication skills, including the ability to discuss complex treatment plans clearly and convincingly. Excellent written and oral skills. Ability to maintain detailed patient account notes and write professional emails and texts to patients and referral sources. Outstanding customer service skills in person and on the phone Ability to problem solve and connect with our customer service resources (IT personnel, Dentrix and Practice by Numbers support) Knowledge of dental terminology, procedures, and PPO insurance practices. Proficient in case presentation; i.e. explaining estimated insurance coverage, patient portion Proven organizational skills, with the capability to manage multiple tasks and schedules efficiently. Availability to work on a full-time basis with on-site requirements. Provide at least two professional references that are available to be contacted Office Details We see patients Monday, Tuesday, and Thursday and one Wednesday per month. The Coordinator will work in the office Monday - Thursday and use the non-patient Wednesdays as an administrative day. As the practice grows, we will include more patient-care Wednesdays. Our hours are 8 am - 5 pm with lunch 12-1 pm. We outsource claims submission and billing duties to allow our Treatment Coordinators to focus on patient communication and care. Compensation and Benefits Compensation is based on experience. Benefits are offered after a 90 day probationary period. PTO is accrued with each pay period. Unpaid PTO is paid out at the end of the year.
