The Orthodontic Treatment Coordinator is a key role in our practice, serving as the main connection between our Orthodontist and our patients. Youâll be one of the first people patients interact with, helping guide them through their treatment journey with clarity, care, and confidence. Your Responsibilities As a Treatment Coordinator, you will help manage the patientâs experience from the first consultation through treatment completion at our various locations on Oahu and Neighboring Islands. Your responsibilities include: Treatment Plans & Financial Conversations: Meeting with patients to clearly explain recommended procedures such as traditional braces, Invisalign, and retainers in easy to understand language. You will walk patients through timelines, expectations, costs, insurance benefits, and estimated out-of-pocket expenses. This may also include helping patients explore payment plans or third-party financing options when needed. Familiarity with insurance pre-authorizations is important.[DI1] [BN2] Scheduling: Scheduling treatment and routine care in person or via phone while ensuring all appointment requirements like insurance verification, appliances, and consent forms are received. Communication & Follow-Up: You will follow up with patients who have not scheduled treatment yet, or who have missed their appointments, helping answer questions and remove any obstacles. Additionally, you will assist following up with patients who have missed their payments [DI3] [BN4] and educate on proper hygiene and maintenance. What Youâll Bring · Experience: 12 months of experience working in Orthodontics or Dental General Practice, working primarily with patients and referring offices. Customer service in healthcare or sales will be highly considered. Strong Communication: Clear, friendly, and professional written and verbal communication skills, with a genuine desire to help patients feel informed and supported. Organization & Time Management: The ability to stay organized, manage multiple tasks, including patient care, case tracking, and records maintenance in a busy environment. Technology Skills: Comfort using computers and dental practice management software is required. Denticon or Dentrix Ascend[DI5] [6] is a plus! High School diploma or equivalent · The ideal candidate is warm, compassionate, and upbeat, enjoys working in a fast-paced environment, and is excited to learn, grow, and support patients during important moments in their care.
