We are currently seeking a welcoming and highly organized Patient Care Coordinator to join our growing team. In this role, you will be the face and voice of our practice, ensuring every patient feels valued from the moment they call or walk through our doors.
The Role
The Patient Care Coordinator is a vital position within our practice, responsible for both front desk operations and schedule optimization. You will create a warm, seamless patient experience while taking full ownership of the daily production schedule for both the dentist and hygiene team.
Your focus will be on building an efficient, well-paced day that minimizes downtime, supports clinical excellence, and ensures every patient interaction reflects the high standards of our practice.
Key Responsibilities

Patient Experience: Greet patients warmly in person and over the phone, delivering a high-quality, personalized experience from first contact through checkout

Front Desk Management: Maintain a clean, organized, and welcoming reception area while managing patient flow and clearly communicating any wait times

Schedule Ownership: Build, manage, and optimize the schedule for the dentist and hygiene team to maximize productivity and minimize downtime

Procedure Planning: Allocate appropriate time for procedures and proactively adjust the schedule to accommodate emergencies and last-minute changes

Team Coordination: Align with the clinical team to review the schedule, anticipate bottlenecks, and ensure smooth execution throughout the day

Patient Retention: Schedule follow-up and preventative care appointments while reinforcing the importance of routine dental visits

Schedule Maintenance: Confirm upcoming appointments and proactively fill cancellations to maintain a full and productive schedule

Insurance Support: Handle basic insurance verifications and coordinate with the Treatment Plan Coordinator for more complex coverage and financial discussions
Requirements

Strong scheduling instincts with the ability to balance efficiency, patient needs, and clinical workflow

Excellent communication skills and phone etiquette, with confidence guiding patients to appropriate appointment times

Highly organized and able to multitask effectively in a fast-paced environment

Proactive, detail-oriented, and quick to respond to schedule changes or operational issues

Prior experience in a dental or healthcare front office preferred

Familiarity with dental procedures and appointment timing is a plus

Basic knowledge of dental insurance verification is a plus; ability to collaborate with a Treatment Coordinator on more complex cases
