Role Description
We are seeking a reliable and detail-oriented Front Desk Associate to support daily operations. This role goes beyond traditional reception duties—you will play a key part in managing the schedule, coordinating patient care, and ensuring the day runs smoothly.
The ideal candidate is organized, proactive, and comfortable taking ownership of both patient communication and administrative responsibilities.
Key Responsibilities
Patient Experience & Communication
- Greet and check in/out patients in a professional and friendly manner
- Answer phones and respond to patient inquiries clearly and efficiently
- Maintain a positive and welcoming front office environment
Scheduling & Coordination
- Manage and optimize the daily schedule for productivity
- Schedule appointments based on treatment needs and provider availability
- Proactively fill open time and maintain a well-balanced schedule
- Confirm appointments and manage cancellations/rescheduling
Insurance & Financial Coordination
- Verify insurance eligibility and benefits
- Prepare and present treatment estimates
- Submit and track insurance pre-authorizations and claims
- Follow up on pending cases and communicate updates to patients
- Collect co-pays and payments
Administrative Support
- Maintain accurate patient records in scheduling software
- Send statements and assist with accounts receivable
- Coordinate with the clinical team to ensure smooth workflow
Qualifications
- Previous dental or healthcare front office experience preferred
- Strong communication and customer service skills
- Organized with attention to detail
- Comfortable with computers and scheduling systems (Dentrix Ascend a plus)
- Ability to multitask in a fast-paced environment
