Are you an experienced orthodontic professional who loves interacting with families but also has a passion for clean ledgers and maximizing insurance reimbursements? Our growing orthodontic practice is seeking a dynamic Orthodontic Front Office & Financial Coordinator. In this hybrid role, you will be the face and voice of our practice, ensuring an exceptional patient experience from check-in to check-out. Concurrently, you will own our back-end revenue cycleâmanaging orthodontic insurance claims, setting up long-term patient contracts, and managing practice collections. The ideal candidate brings a unique blend of warm hospitality and sharp financial acumen. You must deeply understand how orthodontic billing and multi-year payment contracts differ from standard dental or medical billing. Key Responsibilities Front Desk Excellence: Greet patients with a warm welcome, manage the daily patient flow, answer phone calls, and optimize the clinical schedule for maximum efficiency. Insurance Optimization: Verify orthodontic insurance benefits, determine lifetime maximums (LTM), submit primary/secondary claims, and aggressively appeal dynamic or unpaid claims. Contract & Ledger Management: Properly structure multi-year patient financial contracts within our practice management software and manage recurring auto-debit systems. Accounts Receivable & Collections: Monitor aging reports (30/60/90+ days), resolve delinquent patient accounts, and handle sensitive financial conversations with empathy and professionalism. Financial Consultation Support: Work alongside our Treatment Coordinator to answer existing patients' ongoing billing, insurance, or flex-spending (FSA/HSA) questions. Qualifications & Skills Experience: Minimum 2â3 years of dedicated experience working in an orthodontic practice front office with explicit responsibility over insurance billing and collections (required). Software Proficiency: Hands-on experience with orthodontic software. Industry Knowledge: Deep understanding of CDT orthodontic coding, insurance verification, insurance aging reports, and recurring payment contract logic. Attributes: Exceptional customer service skills, the ability to multi-task in a fast-paced environment, and a highly analytical mind for auditing financial ledgers.
