Overview We are seeking a highly organized and detail-oriented Dental Orthodontic Administrative Assistant to support our orthodontic team. This vital role involves managing patient interactions, coordinating appointments, handling medical billing and coding, and maintaining accurate records within a fast-paced dental clinic environment. The ideal candidate will possess strong administrative skills, dental terminology knowledge, and experience with electronic health record (EHR) systems. Duties Greet patients warmly and provide exceptional front desk service, including scheduling appointments and answering multi-line phone systems. Verify insurance coverage, perform insurance verification, and manage claims processing using systems such as Dentrix, Eaglesoft, or similar EHR platforms. Assist with patient intake procedures, ensuring accurate documentation review and data entry into electronic medical records (EMR) systems like Epic, Meditech, or Athenahealth. Support medical billing processes by coding procedures accurately using CPT, ICD-9, and ICD-10 codes while ensuring compliance with HIPAA regulations. Maintain organized dental records and ensure all documentation is complete, accurate, and up-to-date in accordance with health information management standards. Manage appointment scheduling efficiently to optimize clinic flow while providing excellent patient service. Perform clerical tasks such as filing, data entry, typing, and using Microsoft Office applications to support daily operations. Requirements Proven experience in a dental or medical administrative support role within a clinical setting; orthodontic or dental clinic experience preferred. Strong knowledge of dental terminology, medical coding (CPT, ICD-9/10), and insurance verification processes. Familiarity with electronic health record (EHR) systems such as Dentrix, Eaglesoft, eClinicalWorks, or similar platforms. Excellent computer skills including proficiency in Microsoft Office Suite and clinic management software like Meditech or Epic. Ability to handle sensitive patient information in compliance with HIPAA regulations with discretion and professionalism. Bilingual abilities are a plus to serve diverse patient populations effectively. Exceptional phone etiquette, customer service skills, and the ability to multitask in a busy office environment.
