Job Description

Our Dental Studio is looking for a friendly, organized, and professional Front Office Receptionist / Patient Care Coordinator to join our growing dental team.

The receptionist is often the first and last person our patients interact with, so we are looking for someone who is warm, polished, reliable, and detail-oriented. This role is ideal for someone who truly enjoys helping patients, creating a welcoming first impression, and keeping the front office running smoothly. You will be responsible for managing scheduling, insurance verification, collections, patient communications, and supporting our overall practice production goals.

Compensation & Benefits

  • Pay: $25-$30

Essential Duties & Responsibilities

Patient Relations & Customer Service

  • Greet and assist patients professionally and warmly, creating an excellent first impression.
  • Check patients in and out efficiently and manage overall office flow.
  • Handle patient inquiries, resolve concerns, and direct them appropriately while maintaining strict confidentiality and HIPAA compliance.

Telephone & Communication Management

  • Answer incoming phone calls, texts, and emails promptly, professionally, and with great telephone etiquette.
  • Schedule, confirm, and manage patient appointments to maintain a productive and efficient schedule.
  • Follow up with patients regarding missed calls, unscheduled treatment, and overdue recall appointments.

Insurance & Financial Responsibilities

  • Verify insurance eligibility, benefits, and policies prior to appointments.
  • Accurately enter insurance information, process billing, and obtain pre-authorizations when necessary.
  • Explain insurance benefits and estimated patient portions; independently handle treatment planning and presentations.
  • Collect co-pays, deductibles, and outstanding balances, processing payments accurately.

Administrative & Team Support

  • Maintain, scan, and upload accurate patient records and intake paperwork into charts.
  • Participate actively in morning huddles and team meetings, collaborating closely with clinical staff to ensure seamless patient flow.
  • Keep the reception area clean, organized, and professional.

Qualifications & Requirements

  • Experience: Previous experience in a dental setting is preferred but not a must.
  • Software Skills: Comfortable using Open Dental, scheduling systems, and basic office technology. Proficient in Microsoft Office Suite.
  • Communication: Exceptional written, verbal, and interpersonal communication skills. Writes clearly, edits work for spelling/grammar, and has a professional phone manner.
  • Soft Skills: Personable, proactive, patient-focused, and able to multitask in a fast-paced environment. Must possess a professional appearance and a positive attitude.
