Patient Experience & Administrative Coordinator

Help Build Something Bigger Than a Dental Practice

At Overhill Dental, we believe every smile has a story. We're more than a dental practice - we're a practice centered around confidence, health, beauty, and exceptional patient experiences.

We're looking for someone who wants to grow alongside us. This is not simply a receptionist position. While you'll be the first face our patients see, you'll also play an important role in shaping the experience our patients have every single day.

If you're someone who enjoys solving problems, learning new skills, taking initiative without being asked, and genuinely connecting with people, we'd love to meet you.

Your Core Competencies

  • Exceptional Customer Service

  • Organization & Attention to Detail

  • Communication

  • Microsoft Office & Google Workspace

  • Social Media Coordination

  • Problem Solving

  • Initiative & Ownership

  • Adaptability

What You’ll Do

  • Welcome every patient with warmth, professionalism, and enthusiasm.

  • Create a memorable first and last impression for every patient.

  • Answer phones, emails, and text messages promptly while delivering outstanding customer service.

  • Schedule appointments strategically to maximize provider productivity and minimize schedule gaps.

  • Coordinate new patient onboarding, digital paperwork, and appointment confirmations.

  • Maintain accurate patient records and documentation.

  • Collect payments and maintain accurate financial records.

  • Assist patients with questions regarding wellness plans, financing options, and office policies.

  • Work closely with the clinical team to create an exceptional patient experience from start to finish.

  • Monitor office inventory and proactively reorder supplies before they become an issue.

  • Assist with capturing behind-the-scenes content, patient testimonials, and social media support.

  • Support marketing efforts to generate more leads

  • Identify opportunities to improve office systems and workflows and bring solutions, not just problems.

  • Jump in wherever help is needed. We value team players over rigid job descriptions.

Who You Are

We're less interested in finding someone who already knows everything about dentistry and more interested in finding someone who loves learning.

You're likely someone who:

  • Takes initiative instead of waiting to be told what to do.

  • Figures things out through research, resourcefulness, and critical thinking.

  • Enjoys learning new software, systems, and skills.

  • Thrives in a fast-paced environment where every day looks a little different.

  • Loves making genuine connections with people.

  • Communicates confidently and professionally.

  • Notices small details that others often miss.

  • Is dependable, accountable, and follows through on commitments.

  • Brings positive energy to work every day.

  • Wants to contribute ideas and continuously improve the patient experience.

Qualifications

  • 2+ years of experience in a front desk, administrative, hospitality, healthcare, or dental office role preferred.

  • Dental experience is a plus but not required for the right candidate.

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Comfortable learning new technology and office systems.

  • Experience with Microsoft Office and basic computer applications.

  • Experience with dental software is preferred but can be taught.

What Success Looks Like

After your first several months, you will:

  • Know our patients by name.

  • Keep the schedule organized and productive.

  • Help create an office atmosphere where patients genuinely enjoy coming to the dentist.

  • Anticipate problems before they happen.

  • Take ownership of your responsibilities without constant direction.

  • Be continuously learning about dentistry and patient care.

  • Contribute ideas that make the practice stronger.

Our Culture

We're building a practice that people trust and a brand that people are proud to be part of.

That means we're looking for people who are:

  • Growth-minded

  • Curious

  • Coachable

  • Kind

  • Professional

  • Accountable

  • Passionate about serving others

If you're simply looking for another job, this isn't the right fit.

If you're excited about helping build something meaningful, growing professionally, and becoming an important part of a team that's redefining the dental experience, we'd love to hear from you.
