Job Overview Private practice with great benefits looking for an outgoing, patient focused, cross-trained treatment coordinator. This position will be mainly administrative, but needs flexibility to assist with treatment when necessary. Pay will be commensurate with experience. This practice is a friendly, professional, team oriented office with advanced clinical equipment. Hours are 7:45 am - 5:00 pm MTW and 6:45 am - 4:00 pm Thursday. Administrative half day on Friday. In this pivotal role, you will serve as the bridge between patients and the clinical team, ensuring seamless communication, accurate documentation, and efficient scheduling. Your energetic approach will help foster a positive patient experience while managing administrative tasks with precision. The ideal candidate is proactive, highly organized, and passionate about delivering exceptional patient service in a fast-paced dental environment. Duties Greet patients warmly and verify insurance coverage through insurance verification processes using systems such as Dentrix. Explain treatment plans clearly to patients, review care plans, and discuss financial options to promote understanding and acceptance. Schedule appointments efficiently utilizing dental office management software like Dentrix, ensuring optimal flow of patient visits. Manage patient records meticulously by reviewing documentation for accuracy, updating medical and dental histories, and maintaining compliance with HIPAA regulations. Process payments, handle medical billing including CPT coding, ICD-10/ICD-9 coding, and Meditech or Athenahealth billing systems to ensure accurate revenue cycle management. Coordinate with insurance companies for claims submission and follow-up on reimbursements while verifying benefits for procedures involving Medicare or other insurers. Provide exceptional front desk support by answering multi-line phones with professional phone etiquette, managing appointment scheduling, and maintaining organized filing of medical records. Assist with intake procedures for new patients by collecting medical history information and ensuring all documentation is complete and accurate. Support the clinical team by reviewing care plans, updating health information management records, and facilitating smooth communication between patients and providers. Skills Extensive knowledge of Dental collection processes, insurance verification procedures, and billing practices within a dental setting. Proficiency in EMR (Electronic Medical Records) Dentrix. Strong understanding of HIPAA compliance standards along with CPT coding, ICD-10/ICD-9 coding, and medical terminology relevant to dental care. Excellent computer skills including Microsoft Office Suite (Word, Excel), typing (10 key), and managing multi-line phone systems efficiently. Bilingual abilities are highly valued to serve diverse patient populations effectively. Prior clinic or dental office experience with dental administrative support, front desk operations is required. Exceptional customer service skills combined with professional phone etiquette and the ability to handle sensitive patient information discreetly. Experience with health information management systems such as Dentrix is a requirement. Strong organizational skills for filing, documentation review, appointment scheduling, and office management tasks.
