Position Summary The Dental Treatment & Insurance Coordinator plays a key role at the front desk, making sure patients understand their treatment, insurance coverage, and financial options while keeping the schedule productive and running on time. This person is the main point of contact for incoming calls, new and existing patients, and works closely with the clinical team to support a smooth, efficient day. Core Responsibilities Answer incoming phone calls with outstanding customer service, including scheduling, rescheduling, and answering basic patient questions. Verify dental insurance benefits for new and existing patients before appointments and update coverage information accurately in the practice management system. Calculate and present clear treatment plans, including estimated insurance benefits, patient copays, and out‑of‑pocket costs. Review financial options with patients in a professional, empathetic way and help them feel comfortable proceeding with recommended care. Build and maintain a productive daily schedule for the doctor and hygiene, balancing new patients, treatment, and follow‑ups. Confirm appointments and manage cancellations/no‑shows to protect the schedule and reduce open time. Check patients in and out, ensure paperwork and consents are complete, and collect payments at time of service. Coordinate with the clinical team (dentists, hygienists, assistants) to ensure accurate treatment information and smooth patient handoffs. Maintain accurate patient records, contact information, and insurance details in the practice management software. Handle basic administrative tasks such as scanning, filing, and organizing documents related to insurance and treatment plans. Provide a warm, professional first impression for all patients, in person and over the phone, reflecting the values of the practice. Required Skills and Experience Experience verifying dental insurance and understanding how benefits apply to treatment. Strong ability to build and present treatment plans, including explaining costs and insurance coverage in plain language. Outstanding customer service skills, especially on the phone: calm, friendly, and clear communicator. Proven experience with productive scheduling: filling the doctor’s and hygiene schedule, minimizing gaps, and managing changes. Comfort using dental or medical practice management software for scheduling, insurance, and patient records. High attention to detail and accuracy with numbers, insurance data, and documentation. Ability to work collaboratively with a clinical team and manage multiple tasks at once in a busy environment.
