The Uncensored Reality of This Job Let’s be honest. The front office at a pediatric dental and orthodontic practice is not simply a desk. It is: Mission control Customer service headquarters Schedule defense Insurance translation services Occasional parent therapy All happening while the phone rings, a child presses every button on the card reader, and someone insists they left a voicemail even though the voicemail system strongly disagrees. We’re looking for a warm, organized, dependable Front Office Coordinator who can create an amazing experience for families while keeping the day moving and the schedule from bursting into flames. You Might Be Our Person If You: Can answer the phone with genuine warmth, even when it rings two seconds after you just hung up. Treat the schedule like a highly strategic puzzle and not a casual suggestion. Notice an open appointment before anyone has to point it out. Can remember that one sibling needs an ortho visit, the other needs a cleaning, Mom needs a school note, and Dad is still looking for parking. Know that “We’re pulling into the parking lot” can mean anything from 30 seconds to somewhere near Nevada. Can discuss balances and financial expectations professionally without suddenly becoming fascinated by the ceiling. Enjoy working with children and can laugh when a 6-year-old confidently explains that their dentist is actually a tooth scientist. Are punctual and dependable because the schedule already provides enough surprises. Want to learn, grow, and become genuinely excellent at what you do. What You’ll Actually Be Doing, Creating a Great First Impression Greeting every family warmly, professionally, and like we are genuinely happy they chose our office because we are. Protecting the Schedule Scheduling appointments accurately, filling openings, confirming patients, recovering cancellations, and helping the office stay productive. Becoming an Insurance Translator Verifying benefits, reviewing coverage, documenting information clearly, and helping families understand that “covered” does not always mean “free.” Supporting Patient Flow Checking patients in and out, collecting necessary forms and payments, communicating delays, and keeping the clinical team informed. Following Up Like a Professional Helping families schedule recommended treatment, following up on pending care, and making sure patients do not quietly disappear into the scheduling abyss. Communicating With Parents Answering questions, setting expectations, explaining office policies, and remaining composed when someone says: “But Google said my insurance would cover it.” Keeping Accurate Records Documenting conversations, updating patient information, entering notes, and ensuring the next team member does not have to solve a mystery. Supporting Pediatric and Orthodontic Care Working with both our children’s dentistry and orthodontic teams to create a smooth, consistent experience from the first phone call through the final appointment. The Non-Negotiables The Experience: Previous dental front-office experience is strongly preferred. Pediatric or orthodontic experience is a major plus. The Technology: Dentrix experience is preferred, but we will train the right person. The Communication: You must be comfortable speaking with parents, discussing financial responsibilities, answering phones, and communicating professionally with doctors and teammates. The Follow-Through: If you say you’re going to call someone, document something, or complete a task—we need you to actually do it. The Reliability: Consistent attendance and punctuality are essential. The Vibe: Warm, coachable, organized, positive, and low drama. Our patients may arrive in superhero capes.
